Job Summary: We are seeking a detail-oriented and organized Legal Administrative Assistant to join our legal team. The ideal candidate will provide essential administrative support, ensuring the smooth operation of the office and assisting attorneys in various tasks. This role is crucial for maintaining efficient workflows and providing high-quality service to our clients.
Key Responsibilities:
- Client Interaction:
- Greet clients, attorneys, and visitors promptly and courteously upon arrival, creating a positive first impression.
- Address client inquiries in person or over the phone, providing accurate information or directing them to the appropriate staff member.
- Maintain a professional demeanor while managing sensitive client interactions and ensuring confidentiality.
- Phone Management:
- Answer and manage a multi-line phone system, handling a volume of calls efficiently.
- Screen calls, take detailed messages, and ensure prompt communication to the relevant attorneys or staff.
- Provide assistance with basic inquiries and relay important information to clients and staff.
- Scheduling:
- Coordinate and manage attorneys' calendars, scheduling appointments, meetings, court dates, and other important events.
- Send reminders to clients and staff about upcoming appointments, ensuring smooth time management.
- Documentation and Filing:
- Prepare, format, and file legal documents, correspondence, and other paperwork with accuracy and attention to detail.
- Maintain organized physical and electronic filing systems, ensuring that all documents are properly indexed and easily accessible.
- Assist with filing documents; supporting our medical records clerk, case manager, paralegal, and attorneys; organizing files.
- Record Keeping:
- Maintain accurate and up-to-date client records and databases, ensuring compliance with legal confidentiality standards.
- Track important deadlines and ensure timely follow-up on case-related tasks.
- Office Management:
- Oversee the reception area, ensuring it is clean, organized, and presentable always.
- Handle incoming and outgoing mail, including courier services and deliveries.
