We are seeking a handy and proactive Office Services/Office Assistant to join the Operations team in our Tampa location. The ideal candidate will excel in a professional and team-oriented environment. The role requires an individual who is experienced in minor office repairs and maintenance tasks with the ability to thrive in a fast-paced environment.
Duties/Responsibilities:
Under the supervision of the Legal Assistant, the Department Assistant will assist with the following tasks:
- Process new matter and conflict requests, including corporate searches and updates.
- Prepare and mail retainer letters and correspondence; create postage forms and FedEx labels.
- Enter new client information into Interaction upon opening a matter.
- Update attorney case lists as files are opened, closed, or assigned.
- Prepare initial case style and service list; enter cases in the Court Alert System.
- Enter time and process corrections to unbilled time reports and casual prebills.
- Manage internal accounting tasks, including deposits, check requests, and generating basic reports using Aderant.
- Track and process Firm and vendor invoices.
- Coordinate travel arrangements and event registrations.
- Post Continuing Legal Education (CLE) credits.
- Assist in setting hearings, reviewing judge’s procedures, and uploading orders.
- Extract pleadings received for Federal/State Court.
- Prepare and submit attorney expense reports.
- Assist with organizational projects, such as hearing binders and exhibits.
- Close files, including preparation, inventorying, and obtaining necessary approvals.
- Handle copying and scanning projects as needed.
- Perform other duties as assigned.
Required Skills/Abilities:

- Effective time management skills with a proven ability to meet deadlines.
- Ability to organize files and workflows efficiently.
- Proficient in Microsoft Office Suite or related software.
Preferred Software Knowledge:
- Familiarity with iManage, File Site, Aderant, Interaction, Court Alert, Microsoft Office 365, and Chrome River
Education and Experience:
- Associate’s degree in Paralegal Studies or a related field required; Bachelor's degree preferred.
- Minimum of three years of relevant experience in a law firm or corporate legal department environment required.
