JOB TITLE: Legal Assistant to General Counsel
DEPARTMENT: Legal
SUMMARY: The Legal Assistant to the General Counsel provides high-level substantive and administrative support by managing the high stakes documentation for CODA accreditation, and compliance auditing to ensure the school remains legally and operationally secure.
DUTIES AND RESPONSIBILITIES:
- Assist with managing the General Counsel’s calendar; schedule meetings on behalf of General Counsel
- Prepare expense reports and submit to accounting on behalf of General Counsel
- Prepare documents, agendas, and record minutes for meetings as requested by the General Counsel
- Assist with travel arrangements for General Counsel
- Serve as primary point of contact between General Counsel and other departments or external parties
- Draft routine legal documents, contracts, and correspondence
- Organize and maintain physical and electronic files
- Assist with research and maintain current knowledge on regulations, health law, and company policies
- Assist with maintaining repository of school legal policies
- Assist the General Counsel in preparing documentation for the Commission on Dental Accreditation to maintain the program’s standing
- Assist with the preparation and organization of sensitive documentation for internal investigations including resident, faculty, or staff conduct, ensuring all procedures align with school policy and federal regulatory requirements
- Assist with document preparation for litigation, organizing evidence, and monitoring regulatory compliance
- Assist with contract lifecycle management
- Performs other related duties as assigned by the General Counsel.
SUPERVISORY RESPONSIBILITIES:
- This job has no supervisory responsibilities.
QUALIFICATIONS:
- Bachelor's Degree (BS) from four-year college or university
- Minimum of three to five years of related experience under attorney supervision and/or training, or equivalent combination of education and experience.
- Certificates, licenses and registrations preferred: Certified Legal Assistant Certification provided by NALS or Advanced Certified Paralegal
SKILLS REQUIRED:
- Computer Skills Required: Expert in Microsoft Office Suite including Outlook, Excel, Word, and PowerPoint.
- Discretion & Confidentiality: Perform with unwavering integrity and maintain confidentiality due to handling of sensitive information
- Experience with Contract Lifecycle Management
- Accreditation Knowledge: Familiarity with CODA standards
- HIPAA & FERPA Proficiency: Deep understanding of patient privacy laws and student record privacy
- Project Management and Prioritization: Ability to oversee multiple projects and exercise high-level judgment to filter communications and prioritize the GC’s time
- Professional Communication: Ability to translate complex legal jargon into clear documentation for residents, faculty, and staff while using discretion under supervision of GC
