LEGAL ASSISTANT, ESTATES DEPARTMENT

We are seeking a skilled and detail-oriented Estate Legal Assistant with 3-5 years of experience to support our estates practice. The ideal candidate will have strong knowledge of estate planning processes and documentation, excellent organizational skills, and the ability to work efficiently in a fast-paced law firm environment.

While you are organized and love the satisfaction of getting things done, you are also a people person and enjoy interacting with colleagues throughout your workday. Though you are self-directed and able to work independently, you are also a team player who collaborates well with everyone at the firm to make things happen for our clients. RESPONSIBILITIES:

  • Prepare, proofread, and format estate planning documents, including powers of attorney, health care directives, and related engagement correspondence.
  • Maintain and organize client files, both electronic and physical, ensuring accuracy and compliance with firm protocols.
  • Coordinate client meetings, manage attorney calendars, and prepare meeting materials.
  • Communicate regularly with clients, financial institutions, and other professionals in a professional and timely manner.
  • Assist with billing and invoicing as needed.
  • Manage incoming and outgoing mail, intake calls, and emails, maintaining a client-focused approach.
  • Keep attorneys abreast of deadlines, case status updates, and required follow-ups.

QUALIFICATIONS:

  • 3-5+ years of experience supporting estate planning, or probate attorneys in a law firm environment (preferred; strong candidates with equivalent experience considered).
  • Proficiency with Microsoft Office (Word, Outlook, Excel), document management software (e.g., iManage,; Clio, NetDocs, or similar), and practice management systems.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, organizational skills, and ability to handle confidential information.
  • Ability to multitask and manage priorities with minimal supervision.
  • Familiarity with calendar/scheduling for legal deadlines such as probate filings.
  • Client service mindset with professional phone and email etiquette.
  • Notary public certification a plus.
