The Litigation Support Specialist will provide administrative assistance to the Director of Litigation and the Litigation Support Manager. The ideal candidate will demonstrate end-user proficiency in Microsoft Office as well as the ability to consistently and accurately complete the following tasks while maintaining strict confidentiality:
- Document incoming threats, suits, and complaints on the departmental tracker and shared calendar
- Request underlying media internally and externally, as directed
- Demonstrate user proficiency with Microsoft Access to create and update database records with consumer and complaint information
- Maintain litigation calendar to include answer dates, removal deadlines, and other court-mandated touchpoints
- Maintain and update the vendor audit calendar to reflect audit cycles and evidentiary document requests, e.g., COI, SOC, PCI, and similar documents with annual dates of expiration
- Receive and process update requests to/from clients, as needed
- Distribute settlement agreements for internal execution as needed
- Prepare settlement check requests
- Demonstrate ability to navigate Pacer and complete reputational checks
- Ability to review and process communications from a process server
- Request reports from internal departments to complete quarterly licensing reports and complete in-state portals
- Document license renewals and complete the requested items, includes obtaining signatures from executives
- Distribute updated license renewal documents for physical and digital license frames
- Complete license requests for client audits
Additional tasks may be assigned by the CCO as needed, including but not limited to:
- Assist with the processing of Attorney General complaints and other regulatory matters
- Assist with document production for internal and external audit requests
- Assist Internal Audit and QA teams on an ad hoc basis
Requirements:
- Previous Litigation Support experience required
- Demonstrate user proficiency in Excel including advanced user functions such as pivot tables, V look-up, and conditional formatting
- This position requires the candidate to operate within strict confidentiality guidelines internally and externally
- Strong attention to detail work
- Organizational skills, Time Management, and Ability to meet strict deadlines is necessary
