The Position

We are seeking an experienced and proactive Office Operations Manager to oversee administrative operations in our dynamic default services law firm. This role will be responsible for managing communication with building management, vendor relationships, administrative staff supervision, and coordination of internal processes. The ideal candidate will have strong organizational skills, leadership qualities, and a commitment to maintaining a high standard of office order and cleanliness.

Responsibilities:

  • Oversee all communication with building management across multiple office locations, addressing inquiries and resolving complex issues promptly.
  • Manage vendor relationships for services including shredding, cleaning staff, and other office-related needs, ensuring service levels meet firm standards.
  • Supervise and mentor administrative staff, providing guidance and support to enhance team performance.
  • Coordinate travel via firm's travel platform.
  • Collaborate with the leadership team on general operational strategies and initiatives.
  • Champion the firm's core values and culture among employees, implementing strategies to promote engagement and alignment.
  • Manage firm sponsorship and charity initiatives.
  • Coordinate firm social events to foster a positive work environment and team spirit.
  • Manage the ordering of office supplies and branded merchandise, ensuring adherence to budgetary guidelines and overseeing the business card platform.
  • Collaborate closely with Human Resources and IT departments to facilitate the seamless onboarding and offboarding of new and departing employees.
  • Manage the seamless transition between current and new office locations, including coordinating the end of lease agreements and identifying optimal office space solutions.
  • Collaborate with the leadership team on general operational strategies and initiatives.
  • Serve as a backup in all administrative functions including reception, collateral oversight, and digital mail sorting where necessary.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • 5+ years of experience in operations management, preferably within a law firm or professional services environment.
  • Capable of managing a team.
  • Strong leadership skills with experience supervising and mentoring staff.
  • Proven ability to manage vendor relationships and negotiate contracts.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Exceptional communication skills, both verbal and written.
  • Experience in improving operational processes and implementing efficiencies.
  • Proficiency in Microsoft Office Suite and familiarity with office management software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
