The Legal Department of a national, publicly traded healthcare company seeks a highly organized, analytical, and proactive individual to serve as Legal Operations Administrator. This role supports the operational, administrative, and strategic functions of the Legal Department, with a focus on legal operations administration, contract management, department administration, legal entity management and licensure/enrollment support. The Legal Operations Administrator will play a key role in enhancing the efficiency and effectiveness of the Legal Department by managing processes, systems, reporting, documentation, and cross-functional coordination. The ideal candidate will possess strong communication and organizational skills, demonstrate comfort working with senior leadership, and thrive in a fast-paced, evolving, and highly collaborative environment. A mindset of continuous improvement and lifelong learning is essential, as this role will help drive operational excellence and support the department’s ongoing growth and transformation.
- Serve as an operational point of contact for the Legal Department, routing internal and external inquiries and ensuring timely follow-up and resolution.
- Maintain and continuously improve Legal Department systems, including SharePoint sites, ensuring information is accurate, secure, organized, and easily retrievable.
- Support the administration and optimization of legal technology tools, tracking usage, identifying process improvements, and assisting with system updates and enhancements.
- Assist in developing, documenting, and maintaining standard operating procedures, workflows, and internal guidance materials to promote consistency and efficiency.
- Support contract lifecycle management processes, including tracking, intake coordination, document routing, and maintaining organized records of agreements.
- Lead certain aspects of subsidiary entity management, such as annual reports and the accuracy of the CSC database.
- Coordinate Legal Department initiatives and activities.
- Coordinate cross-functional requests from business partners, ensuring accurate tracking, documentation, and timely communication with stakeholders.
- Assist with invoice review.
- Draft, edit, and format internal communications, reports, presentations, and other operational materials.
- Assist with special projects, including new business line integration and other strategic departmental priorities.
- Develop a working knowledge of all aspects of licensure / enrollment and develop the skills to support those roles from time to time.
- Promote a culture of continuous improvement, identifying opportunities to streamline processes and enhance operational efficiency.
- Associate’s degree preferred
- Minimum three years of office experience required, preferably in a legal setting and at an executive level; prior public company experience is a plus.
- Excellent written and verbal communication skills
- Proficient in use of technology, including Microsoft Office suite, and standard office equipment (copier, scanner, etc.).
- Ability to manage multiple projects and priorities with minimal supervision
- Comfortable interacting with individuals at all levels of the company, including senior leadership
- Ability to maintain confidentiality of sensitive information
- Excellent interpersonal and customer service skills
- Travel up to 10%
