What will you be doing in this role?

The Legal Assistant provides support and assists department leadership, Legal Counsels, Paralegals, and/or other legal staff in providing quality legal advice and services to the Board of Directors, Administration and Medical Staff or other areas for Cedars-Sinai and its related entities. Provides notarial service for hospital-related transactions.



Responsibilities
Principal Responsibilities:
  • Transcribes correspondence and other legal documents prepared by attorneys.
  • Answers telephones, maintains calendars and arranges meetings for department staff and leadership.
  • Maintains digital department file index, makes new files and maintains all file types. Sends, receives, copies and/or distributes documents, as needed.
  • Orders office supplies and keeps inventory. Renews or orders library subscriptions and processes all department check requests for payment.
  • Archives files for off-site storage and performs such other functions as requested by the Senior Vice President along with other legal personnel.
  • Participates in the development and promotion of partnership, collaboration, and a close working relationship among the Medical Staff, Vice Presidents, Directors, Managers, Team Leaders and staff in achieving the goals and objectives of the organization.
Department Specific Responsibilities:
  • Accepts third-party subpoenas, initial communication with noticing law firms and Cedars-Sinai deponents in facilitating outside counsel representation as needed; assists with scheduling and fee schedule for physicians as needed. Schedules and coordinates third-party depositions. Maintains subpoena log in database. Assigns Medical Board Complaint notices and maintains log for supervising purposes.
  • Leads all aspects of Patient Belongings claims by coordinating between Patient Belongings, care unit leadership, patients and Security as needed, for claims investigation and resolution. Assists with acquiring video footage from Security or other internal partners. Provides waiver/release agreements for third parties requesting video footage. Acquires required signatures for final footage release by attorney.
  • Drafts and issues Preservation of Evidence Letters for third-party cases. Process of service acceptance for hand delivery of Summons, scan and send to appropriate department. Assists law firms, process servers, HID with staff status verification calls to provide appropriate response to serve legal documents.
  • Handles daily emails and faxes and weekly request list, for claim history report requests for MD’s, RN’s applying/reapplying for privileges at CSMC and other institutions. Addendum form completion for doctors or assistance to the attorneys for reports that do have claims reported.
  • Academic and Professional Qualifications: Handles, sorts and distributes interoffice mail; handles filing and e-filing of legal documents. Handles Wage Garnishment service and Urgent Medical Device Recall notices.

Qualifications
Educational & Experience Requirements:Education:
  • High School Diploma/GED, (Minimum)
Work Experience:
  • 1 year Related legal secretarial/assistant experience (Minimum)
