
The Virginia law firm of Gentry Locke Attorneys seeks a Office Assistant/Receptionist to join our team in Roanoke! The successful candidate will be an ambitious team-player with the ability to work well in a fast-paced environment. The Office Assistant/Receptionist will be responsible for various tasks including, but not limited to, greeting clients and guests; directing phone calls; conference room set-up; stocking office and kitchen supplies; sorting and delivering mail; and providing back-up to the outside courier. Candidates must have personal transportation, a valid driver’s license and proof of insurance. This Office Assistant/Receptionist will be a full-time, in office position.
Demonstrated knowledge of Microsoft Office including Word, Outlook, and Excel is essential. The willingness and ability to learn and expand on current technology skills including versatile cloud apps is required in order to navigate the robust technology package the firm maintains.

Responsibilities included, but are not limited to:
- Receives clients and visitors in a professional manner.
- Reads, sorts, and dates incoming mail depending on attorney preference. Ensures all outgoing mail is delivered in a timely manner. Maintains outgoing logs.
- Assists professional staff and attorneys with various administrative responsibilities such as processing invoices, time entry, and preparing correspondence and binders.
- Directs telephone calls to appropriate attorneys and staff. Receives and records information from telephone callers or in person visitors and communicates information to attorneys and staff.
- Maintains inventory for office and kitchen supplies and communicates with Office Services Coordinator when additional inventory is needed.
- Responsible for stocking all office and kitchen supplies upon receipt.
- Ensures proper clearance and routing of clients and guests in accordance with Firm policies.
- Assists with scheduling meetings and coordinating food and beverage.
- Responsible for conference room set-up and break down. Monitors meeting room calendars for updates.
- Responsible for handling firm cold calls and directing them to appropriate contact within each practice group.
- Observes confidentiality of attorney-client relationship.
- Ensures proper cleanliness of all public-facing areas.
- Maintains an organized reception area.
- Assists courier as needed by providing back-up assistance for outside runs.
- Performs other related duties incidental to the work described herein.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED OR PREFERRED:
- High school diploma or GED.
- Demonstrated knowledge of Microsoft Outlook and Word.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Ability to maintain organization in a changing environment.
- Ability to concentrate and pay close attention to detail.
- Interpersonal skills necessary to communicate by person, by e-mail and telephone and follow instruction effectively from a diverse group of clients, attorneys and staff.
- Ability to operate standard office equipment.
- Ability to travel by auto to diverse locations throughout Virginia.
- Must possess a current driver’s license with a clean driving record.
- Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
QUALIFICATION REQUIREMENTS:
- Driver’s license, safe driving record and proof of insurance.
- Ability to lift up to 50 pounds on a continuous basis.
- Ability to performs runs outside of normal business hours and are the responsibility of the primary courier unless s/he is on previously scheduled paid time off or if there is an extenuating circumstance in which these runs become the responsibility of the backup courier.
