The IP Docket Specialist will provide quality control to all statutory deadlines added or removed from the firm’s IP Management System. The IP Docket Specialist works closely with team members to create and implement training materials and execution of training plans. The IP Docket Specialist maintains their assigned docket portfolios according to established policies and procedures, performs all job functions relating to review of documents, and exercises discretion and confidentiality in maintaining contact with clients, attorneys, and staff for docket-related matters. The IP Docket Specialist provides detailed, accurate information on a daily basis to IP attorneys and staff regarding client information and deadlines, assisting the overall effective operations of the Docket Department. 

Essential Duties and Responsibilities: 

  • Complete accurate and timely quality control review of all trademark US and Non-US statutory docketing entries for the IP Docket team.

  • Support the creation and implementation of new training materials.

  • Support the development and implementation of new docketing policies and procedures to enhance user service while mitigating risk.

  • Manage incoming data quality from transferring-in portfolios and provide specialized care to the attorney teams throughout the transfer in process.

  • Provide necessary back up for the IP Docket Analysts to maintain standard operating procedures as outlined by the firm.

  • Provide guidance and respond to docket-related questions and problems from the IP team of attorneys and staff.

  • Maintain an accurate docket database and provide reports as requested or required.

  • Work closely with the IP Docket Analysts and as a team member to meet the goals of the IP Sections and firm.

  • Maintain positive contact with attorneys, staff and clients and observe confidentiality of the Docket Department and firm’s clients.

  • Ensure the accuracy and completeness of docketing of documents that are received from either the USPTO within the requirements set by the Code of Federal Regulations, clients, all other Non-US government agencies, and/or Non-US associates.

Knowledge, Skills and Abilities:

  • Strong understanding of both US and Non-US statutory laws related to trademark matters

  • Effective communication skills, both verbal and written.

  • Ability to work under pressure while producing a high volume of information with a high level of accuracy.

  • Excellent proofreading skills.

  • Ability to identify and analyze complex issues and problems in relation to managing data.

  • Strong attention to detail.

  • Ability to work independently as well as work well as a team member.

  • Ability to work closely with all departments in understanding their processes in order to assist with the day-to-day operations of the firm.

  • Ability to multi-task, work independently with minimal supervision, and work under pressure with high quality results.

  • Effective interpersonal skills to be able to communicate and follow instructions effectively from a diverse group of attorneys and staff.

  • Proficient in Microsoft Office Suite.

Education and/or Experience: 

  • High school degree or equivalent.  College degree or equivalent specialized training (ex, paralegal studies) beneficial.

  • Minimum of eight (8) years of progressive Intellectual Property experience as part of providing necessary quality control to the Docketing department

  • Demonstrated experience with docket software applications. Experience with Pattsy Wave preferred.

  • Demonstrated experience with and strong understanding of domestic/foreign trademark matters.
