Job Description

Your job is more than a job

Executive Coordinator – The Ultimate Right Hand

Are you the kind of person who lives for a color-coded calendar, anticipates needs before they’re spoken, and somehow keeps everything (and everyone) running smoothly? We’re looking for an Executive Coordinator who thrives in a fast-paced environment and loves being the behind-the-scenes force that makes everything happen.

💼 What You’ll Be Doing (aka Running the Show)
  • Own complex calendars, scheduling, and meeting coordination like a pro
  • Keep leadership organized, prepared, and always one step ahead
  • Coordinate meetings, agendas, and materials so nothing falls through the cracks
  • Manage important documents, reports, contracts, and communications
  • Support projects and initiatives that actually move the organization forward
  • Handle travel arrangements + expense reporting (yes, you’ll make it look easy)
  • Build strong relationships across teams and provide top-tier support to stakeholders
🧠 What Makes You a Perfect Fit
  • You’re highly organized but flexible when things change (because they will)
  • You can juggle multiple priorities without breaking a sweat
  • You’re detail-obsessed (in the best way)
  • You communicate confidently with everyone—from frontline staff to executives
  • You handle confidential information with professionalism and discretion
  • You’re proactive, not reactive—you see what’s coming and adjust
📊 The Experience You Bring
  • 5+ years in an Executive Assistant or Office Manager role with a Bachelor’s degree
    OR
  • 10+ years of experience with a High School Diploma
  • Advanced skills in Microsoft Office (Excel, PowerPoint, Word, Outlook)
💡 Why This Role is So Important

You’re not just supporting leaders—you’re enabling them to be successful.
Your ability to anticipate, organize, and execute keeps everything moving forward.

🪑 A Quick Look at the Role
  • Primarily desk-based (lots of coordination, communication, and computer work)
  • Some walking, standing, and multitasking throughout the day
  • No direct reports—this is a high-impact individual contributor role
🎯 The Bottom Line

If you love being the person everyone relies on, enjoy a fast-moving environment, and take pride in keeping things running seamlessly—this role was made for you.
