
Position Description:
Milestone is seeking a detail-oriented Legal Assistant (Coordinator) to support our Release Administration team in managing critical aspects of post-settlement work for complex mass tort cases. This position is ideal for someone with a strong legal support background, exceptional organizational skills, and a desire to grow in a client-focused legal environment. The Legal Assistant (Coordinator) plays an essential role in completing all daily tasks related to high volume claimant intake and onboarding, ensuring data accuracy, and helping facilitate a smooth and timely process. This role contributes to Milestone’s mission of delivering principled, client-centered legal solutions with empathy and precision.
Essential Duties & Key Responsibilities:
- Manage and organize large volumes of legal data and case documentation across multiple settlements.
- Assist with release tracking, data updating/reconciliation, and other ancillary post-settlement assignments.
- Review and process any claimant update requests with attention to detail and accuracy via a Milestone ticketing system.
- Update and maintain claimant records, ensuring all submitted documentation is fully processed as deemed necessary and properly filed internally.
- Support the legal team with data entry, file organization, and follow-up tasks related to release administration.
- Ensure compliance with master settlement agreements, court orders, and internal protocols.
- Track deadlines, claimant statuses, and project milestones using internal systems and/or Excel, as applicable.
- Assist with claimant outreach related to Release Administration data and/or documentation.
- Maintain the strictest confidentiality and handle sensitive information in line with all established procedures and protocol.
- Maintain professional communication with claimants, law firms, and third-party vendors.
- Collaborate with internal teams to ensure timely and accurate data entry and reporting.
- Identify and resolve data inconsistencies and other minor release administration issues that may arise.
- Provide prompt responses to all internal and external communications to keep projects on schedule.
- Provide administrative support where engaged to do so.
- Help resolve client concerns and escalate issues when appropriate.
- Contribute to a collaborative, organized, and client-focused team environment.
Requirements & Qualifications:
- Associate degree or paralegal certification preferred; equivalent experience considered.
- Minimum of 2 years of experience in a legal support or paralegal role, ideally in mass tort or complex litigation.
- Strong proficiency in Excel and ability to quickly learn new legal case management systems.
- Ability to manage and analyze large datasets accurately.
- Proactive when working independently or as part of a team in a fast-paced, high-volume environment.
- Experience handling post-settlement processes such as release administration and lien resolution is a plus.
