We are currently seeking a skilled and dedicated Full-time Legal Secretary to join our dynamic team. 

Job Overview

We are looking for a highly organized and detail-oriented Legal Secretary to support our litigation practice. The ideal candidate will have extensive experience in litigation support, docketing, and scheduling. This role is crucial in ensuring the smooth operation of our legal team and maintaining high standards of client service.

Key Responsibilities
  • Litigation Support:
    • Assist attorneys in preparing and filing legal documents, including pleadings, motions, and briefs
    • Conduct legal research and compile relevant information for case preparation
    • Organize and maintain case files, both physical and electronic
    • Prepare and assemble exhibits and other supporting documents for court proceedings
    • Draft correspondence to clients, opposing counsel, and court personnel
    • Assist in the preparation of subpoenas and witness lists
    • Coordinate with expert witnesses and manage their documentation
  • Docketing:
    • Maintain an accurate and up-to-date docketing system for all active cases
    • Enter and track important dates, deadlines, and court appearances
    • Set up and manage reminders for attorneys and paralegals
    • Monitor court calendars and update internal systems accordingly
    • Ensure compliance with court rules and filing deadlines
    • Generate docket reports and distribute them to relevant team members
  • Scheduling:
    • Manage attorneys' calendars, including court appearances, depositions, and client meetings
    • Coordinate and schedule conference calls and video conferences
    • Arrange travel and accommodations for attorneys attending out-of-town proceedings
    • Schedule and prepare for client meetings and consultations
    • Manage conference room bookings and ensure proper setup for meetings
  • General Administrative Duties:
    • Answer and screen phone calls, take messages, and route calls to appropriate personnel
    • Greet and assist clients and visitors in a professional manner
    • Manage incoming and outgoing mail and deliveries
    • Maintain office supplies inventory and reorder as necessary
    • Assist with billing and time entry as needed
    • Perform general clerical duties such as filing, photocopying, and scanning
Qualifications
  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • Minimum of 3 years of experience as a Legal Secretary, preferably in a litigation-focused environment
  • Strong knowledge of legal terminology, court procedures, and filing requirements
  • Proficiency in legal software applications, including case management
