Carlton Fields is seeking an Assistant IP Administrator in Tampa, Florida to support its growing national intellectual property practice group.
Responsibilities
- Docket incoming and outgoing papers and communications and maintain and update IP docketing system
- Correspond with clients and prepare reporting letters
- Instruct and correspond with counsel for international IP filings
- Generate IP status, attorney docket, and other reports as needed
- Manage patent, trademark, and copyright portfolio deadlines
- Prepare application and maintenance filings with USPTO and Copyright Office
- Create IP assignment, power of attorney, and chain-of-title documents
- Draft patent, trademark, and copyright formalities documents
- Draft patent application information disclosure statements
- Conduct preliminary trademark clearance searches
- Review and flag comprehensive trademark search reports
- Draft initial office action responses
- Perform IP due diligence, chain-of-title, and ownership searches
- Investigate specimens of use for trademark filings
- Collaborate with attorneys and legal administrative assistants to manage IP deadlines
- Provide advanced administrative support to the firm-wide IP Administrator by participating in day-to-day departmental administrative affairs
- Investigate infringement and draft cease and desist letters for attorney review
- Familiarity with managing USPTO deposit account and financial systems
- Provide support for intellectual property dispute proceedings before the USPTO (e.g., TTAB and PTAB) and US federal district courts
Minimum Requirements
- High school graduate required; associate or other undergraduate degree preferred.
- Previous experience in an IP role within a law firm or corporate legal department managing an IP docket and familiarity with IP prosecution filings required.
- Excellent organizational skills and outstanding attention to detail.
- Excellent written communication skills.
- Ability to manage multiple projects and deadlines is crucial in this role.
- Proficiency in Microsoft Office.
- Knowledge of US patent, trademark, and copyright laws and procedures preferred.
- Familiarity with international IP laws and procedures (e.g., PCT, Madrid filing protocols) preferred.
- Familiarity with IP litigation procedures a plus.
- Familiarity with domain name registration, maintenance, and dispute procedures preferred.
- Familiarity with software tools commonly used in law firm IP departments (e.g., patent and trademark search tools, docketing software, domain registrations, etc.) a plus.
This is not remote position. The ideal candidate must be available to work on-site Monday – Friday, 7.5 hours each day.
Actual salaries will vary depending upon various factors, including relevant experience and skillset. The salary range listed is just one component of the Carlton Fields total compensation package for employees.
