Benesch is proud to announce the opening for an Executive Assistant to the Managing Partner in our Cleveland office! This position is hybrid and has work from home flexibility.

Position Summary

Do you enjoy a fast-paced environment where every day brings something new, exciting and challenging? Do you have experience being the face of an Executive or Managing Partner? Do you have prior experience organizing and overseeing gift giving at a high-volume level? Then our Executive Assistant position may be right for you. This role works to support the needs of our Managing Partner in conjunction with the other members of his support team members. This role is perfect for the executive assistant who has a strong sense of organization, near perfect attention to detail and accuracy, experience with heavy scheduling and time management. The Executive Assistant serves as a key member of the Managing Partner's support team, working collaboratively to ensure the highest standard of service for the Firm's Managing Partner. The Executive Assistant oversees the Firm's internal and external gifting program on behalf of the Managing Partner and provides essential support in the planning and execution of client events, meetings, and communications. Additional responsibilities include comprehensive calendar management, administration of sports ticket allocations, and addressing a variety of needs as directed by the Managing Partner. The Executive Assistant provides an exceptional level of service to clients, guests, and employees of the Firm.

Essential Functions

1. Selects gifts on behalf of the Managing Partner and ensures orders are accurately placed and reach their destination timely. This includes all attorney birthday gifts, milestone anniversary gifts, and both internal and external thank you, deal closing, and trial gifts, wedding, client promotional and baby gifts, and miscellaneous gifting. This can include trips and dinners including sending calendar invites with details to the recipient.

2. Maintains a list of recipients, specific preferences and gifts sent on behalf of the Firm from the Managing Partner.

3. Helps manage the logistics of Firm-hosted events including but not limited to: securing venues, invitations/RSVPS, managing the budget, processing invoices and liaising with clients and suppliers.

4. Assists with the coordination of the complex and ever-changing schedule of the managing partner which includes but is not limited to personal travel and logistics, adding detailed agenda's for client board meetings and events, and other deliverables optimizing the Managing Partner's ability to bring value to the Firm.

5. Writes and sends email introductions between clients, potential clients and investor contacts for investments/fundraises utilizing deck, fact sheet, teaser, etc.

6. Administers all Firm sport ticketing and distribution on behalf of the Managing Partner and delegates to the appropriate client, vendor or employee as required.

7. Quickly adapts to any last-minute changes regarding plans, tickets, events and ensures all involved parties have up to date information.

8. Tracks expenses, receipts and gifting details in order ensure timely reimbursement.

9. Works seamlessly with Managing Partner's support team to ensure that all the Managing Partner's administrative and high-level needs are met and that his schedule and calendar are updated at all times.

10. Communicates properly and promptly with Benesch personnel as well as external contacts at all times while exhibiting a high level of customer service.

Additional Responsibilities

1. Performs other duties as assigned.

2. Serves as a professional liaison between the Managing Partner as well internal and external customers.

3. Provides general support for the Firm's ongoing business development interests.

Qualifications

The Executive Assistant must have a High School Diploma. A minimum of 5 years' experience as an executive assistant supporting top leadership is required. Experience supporting a Managing Partner or CEO in a professional services or legal environment is highly preferred. An Associate's degree from a professional legal/business school or equivalent is desirable. The successful Executive Assistant has experience with gifting programs, event coordination, and complex calendar management. Strong communication skills, proficiency in Excel, Word, and Outlook, and a keen attention to detail are essential. The ability to work independently, manage shifting priorities in a fast-paced environment, and follow through on tasks is required. Flexibility for extended hours is also necessary.
