Job Description

Dykema Gossett PLLC, a leading national law firm, is recruiting for a Legal Specialist. The core duties and responsibilities of this position revolve around supporting others and delivering exceptional customer service.  Under the supervision of the Office Administrator, the Legal Specialist is responsible for providing administrative support to meet the daily needs of the consumer litigation practice group. Responsibilities include national deposition management for assigned automotive client; review and preparation of correspondence and legal documents; maintain attorney calendars and files, schedule meetings, create reports and anticipate practice group needs.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides comprehensive administrative support to assigned attorneys, including assisting the assigned consumer litigation team with discovery management for automotive client.
  • Serve as project leader for national deposition scheduling and coordination, including preparation of material and sending out legal notices.
  • Schedule depositions and other litigation processes, secure conference or virtual meeting rooms and complete other deposition service requests (ex. scheduling court reporters, legal videographers, and interpreters); coordinate attorney assignments for depositions.
  • Prepare and provide documents to witnesses; serve as point of contact for witnesses and warranty team attorneys.
  • With highest degree of accuracy and efficiency, enter and review information in databases, CWAT and Excel spreadsheets to provide to attorneys in client-ready condition.
  • Track case information in databases and Excel spreadsheets.
  • Assemble data and run reports as directed by attorneys and/or clients.
  • Assist attorneys by reviewing financial information and preparing calculations related to case settlements.
  • Track case statuses, review and triage e-mails from clients and attorneys.
  • Prepare and proofread legal documents, correspondence, and reports, ensuring accuracy and proper formatting; files pleadings.
  • Maintain attorney calendars, schedule and assemble materials for meetings.
  • Maintain and organize electronic and physical files, ensuring proper document management and confidentiality; closes files.
  • Exercise independent judgment in determining priority levels of all work assigned on a daily basis. Assure that high priority items are completed in a timely manner.
  • Enter and/or release attorneys’ time, if required. Maintain list of all current billing numbers for assigned timekeepers.
  • Prepare and submit expense reports.
  • Perform other responsibilities/tasks as requested.

           

          KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

          • High school diploma or GED required; post-high school degree or equivalent legal educational training
          • Minimum of three years related work experience in supporting a litigation practice; law firm experience is a plus.
          • Customer-service oriented with ability to deliver superior professional services to all internal and external clients.
          • Must understand legal depositions and be able to work with clients, attorneys and other colleagues in a supportive and collaborative spirit.
          • Self-motivated, amiable and resourceful; ability to work successfully with individuals at all levels of the firm and externally..
          • Acute time-management, keen attention to detail, superior organizational skills, ability to multitask and take initiative.
          • Ability to effectively track and advance multiple smaller details as part of larger projects firm-wide. Ability to manage large amounts of data and utilize new technologies for data tracking, reporting and management.
          • Excellent oral and written communication skills and high degree of professionalism.
          • Team player who works well with diverse colleagues at all levels of the firm; also works well independently and is self-directed.
          • High proficiency in MS Office Suite including Excel, Word (styles and tables), PowerPoint and Outlook.
          • Proficiency working with legal and business databases and document management systems.
          • Typing speed of 55 WPM or greater.
