Our Orange County Office has an excellent opportunity for a detail-oriented and highly organized Legal Secretary to join our Global Trademark and Brand Protection team. This is a non-exempt, hybrid position that reports to the Office Administrator. The ideal candidate will provide comprehensive administrative and secretarial support to timekeepers in our Global Trademark and Brand Protection team. The ideal candidate will thrive in a fast-paced, deadline-intensive environment and possess excellent people skills with the ability to adapt to changing priorities. This position requires the ability to think creatively, strong communication skills, excellent time management, exercise independent judgment when necessary and the ability to handle confidential information with discretion.
Responsibilities:
- Assist with the preparation, filing and managing trademark applications and related documents with the USPTO and international trademark offices.
- Assist with maintaining and updating the docketing system to track deadlines and filings.
- Draft correspondence, legal documents and reports under attorney supervision.
- Coordinate with clients, government agencies, and foreign associates regarding trademark matters.
- Organize and maintain electronic and physical files in compliance with Firm protocols.
- Schedule meetings, manage calendars and assist with billing and invoicing process.
- Process timekeeper expense reimbursements.
- Other duties may be assigned.
Requirements:
- High school diploma or general education degree (GED); Bachelor’s degree preferred.
- Minimum of 2 years of related experience in a law firm.
- Strong knowledge of USPTO procedures and trademark filing requirements.
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint and legal docketing software.
- Proven aptitude to learn new software applications.
- Excellent written and verbal communication skills. Ability to communicate effectively with all levels of staff members and attorneys.
- Strong attention to detail. Ability to type/enter data. Ability to write simple correspondence and routine messages.
- Ability to read and comprehend simple instructions, procedure manuals, general business periodicals, professional journals, technical procedures, governmental regulations, financial reports, or legal documents.
- Excellent interpersonal and communication skills.
The expected annual salary for this position ranges from $65,000 to 100,000. The salary offered will be determined by a wide range of factors including but not limited to experience level, education/training, and relevant skills.
