Job Description

Position Objective

This position is accountable for performing a variety of services involving the application of specialized knowledge of the investigative software and applications used by law enforcement. This position carries an emphasis on digital evidence as it relates to the processing and case management of files within the Office of the County Attorney. This position supports attorney staff in the discharge of their duties through the management of digital evidence associated with processing cases and related administrative accountabilities as necessary. This position will provide analytical support and technical case support to the attorney staff, which will require technical proficiency in evaluating, processing, analyzing and preparing digital evidence, an understanding of the court procedures and requirements for both criminal and civil areas and an exceptional ability to interact with a broad range of stakeholders on matters that are complex, sensitive and confidential. Work will involve frequent contact with staff from internal and external agencies including law enforcement agencies, court administration, community corrections, community services, defense attorneys, defendants, and members of the public relating to criminal and civil matters.?The work is generally technical in nature being governed by local, state and federal regulations and requiring access to a variety of databases. The confidential nature of work assignments and exposure to sensitive data requires a high degree of discretion and judgment to maintain privacy and ensure only authorized disclosures are made.


This position requires an experienced and highly resourceful administrative professional with strong interpersonal/communication skills and in-depth knowledge of the specialized procedures, statutes, regulations and records relating to the Office of the County Attorney. The role requires staff to perform within several unique and specialized programs and provide assistance through the use of said programs in a professional and effective manner. 

Essential Duties & Responsibilities

  • Assist attorneys with case and trial preparation by collecting, processing, converting, editing, analyzing, summarizing, and organizing audio, video, photographic, and digital evidence in multiple formats and platforms.
  • Review, edit, reformat, clip, and redact audio and video evidence, including converting analog audio, correcting or replacing audio tracks, and reducing echo or background noise; submit all edits and redactions to attorneys for review prior to disclosure.
  • Compile and package case materials into complete evidentiary files, including media, exhibits, maps, financial worksheets, arrearage calculations, investigative reports, and related documentation.
  • Manage, organize, and maintain digital evidence systems (including Axon and WatchGuard) to ensure evidence is properly sorted, documented, and accessible; coordinate directly with law enforcement systems as needed to prepare evidence reports for pending cases.
  • Obtain, review, and analyze jail phone calls, police reports, criminal histories, and court records to identify and summarize key information relevant to criminal and civil cases.
  • Utilize multiple case management, court record, and data systems (e.g., MGA, MCRO, MNDES) to enter, retrieve, verify, and maintain accurate case information, court dates, victim and witness data, and evidentiary records.
  • Coordinate with attorneys, legal assistants, law enforcement, courts, county departments, and external agencies to obtain information, resolve technical issues, and support case preparation and evidence disclosure.
  • Prepare and assist with court documents, pleadings, subpoenas, charging documents, disclosures, and exhibits; perform light research and paralegal functions as assigned.
  • Support courtroom proceedings by assisting attorneys with digital and non-digital exhibit presentation and resolving media playback or technical issues during hearings and trials.
  • Prepare for hearings by scheduling and tracking court dates; notifying victims, witnesses, law enforcement, and other relevant parties; and maintaining attorney calendars with daily, weekly, and monthly updates.
  • Communicate professionally and service-oriented with attorneys, victims, witnesses, law enforcement, and the public regarding case status, court dates, charging decisions, plea negotiations, and case dispositions.
  • Maintain physical and electronic files in a systematic and timely manner, ensuring compliance with statutory deadlines, court rules, and office procedures.
  • Perform general office and administrative support functions as assigned, including reception coverage, mail processing, scheduling, messaging, and calendar management.
  • Remain current on applicable statutes, court rules, and procedures; evaluate and recommend improvements to processes; and develop or update training materials documenting procedures.
  • Organize workload and manage time effectively to meet performance objectives, deadlines, and departmental standards.
  • Perform related duties as assigned, recognizing that assignments may be specific to an individual attorney or area of law.

Minimum Qualifications

  • High School Diploma or equivalent;
  • Four or more years work experience of a similar nature and scope of responsibility or equivalent knowledge gained from related experience and/or education;
  • Efficient and accurate keyboarding skills;
  • Advanced proficiency in computer software applications.

Desirable Qualifications

  • Legal Secretary training and/or experience in a legal environment for a minimum of two years;
  • Notary Public License;
  • Accurate keyboarding skills of 50 words per minute or more;
  • Knowledge of general legal research methods and procedural matters;
  • Knowledge of criminal and civil law and rules of procedures and court practices;
  • Knowledge of legal terminology and forms used in legal discourse, procedures and documentation;
  • Ability to abide by federal, state and office confidentiality requirements and data practices;
  • Ability to learn new programs and technology;
  • Knowledge of procedures concerning victims/witnesses and associated issues;  
  • Ability to communicate well using discretion and good judgment in all the dealings of the County Attorney’s Office;
  • Ability to demonstrate strong organizational skills;  
  • Effective verbal and written communication skills;
  • Accurately and efficiently process reports and other information;
  • Knowledge of set up and use of various computer/media hardware;
  • Knowledge and ability to use technology for formal presentations or court appearances;
  • Demonstrate a full understanding of current office practices, procedures and services of the organization and how to apply them in the performance of daily work;  
  • Ability to use telephone systems efficiently;
  • Ability to establish and maintain effective working relationships with internal and external customers;
  • Willingness to take and receive continued skills training;
  • Ability to effectively respond to new assignments or changes of procedures;
  • Considerable skill in using all applicable software programs;
  • Ability to work independently, manage multiple priorities, problem-solve and meet deadlines.
