Description

This position is responsible for gathering and organizing information on procedures, including operating procedures/policies, analyzing data gathered, developing information and available solutions or alternate methods of proceeding; organizing and documenting findings of studies and preparing recommendations for implementing new systems, procedures or organizational changes. This position may be accountable for identifying training needs, preparing reports and recommendations.

 

DUTIES AND RESPONSIBILITIES

 

  • Manage department internship program: review resumes, prepare chart for attorneys, schedule interviews, correspond and update interns/applicants on status, prepare intern time sheets 
  • Prepare files, binders, trial/hearing exhibits, memos, emails, reports, templates for pleadings, correspondence, make photocopies, and perform other tasks for attorneys as needed to meet team needs
  • Assist attorneys as needed to schedule internal and external meetings, including depositions.
  • Open/close case files and perform related tasks such as organizing files, entering information for closed matters into system and making arrangements to send/obtain files from storage
  • File court documents using electronic filing system and place filed stamped copies in appropriate files
  • Act as assigned firm administrator for electronic filing system (File & Serve program) and add/delete attorneys to program 
  • Review invoices from vendors, send to users for approval, prepare necessary paperwork and emails for payment submittal, update Excel spreadsheets regarding invoice payments
  • Work with attorneys to acquire estimate of future spending with outside vendors for defense of lawsuits
  • Prepare budget for annual litigation department spending; partner with Procurement to prepare and submit P.O.s, check requests, etc., for vendors; monitor accounts
  • Prepare necessary cover sheets for various invoice payments; submit sheets/invoices either to accounts payable or third-party administrator CCMSI for payment
  • Review Lawtrac for new & open HCV matters; assign to attorneys via email 
  • Assist attorneys with preparing Adobe HCV hearing packages; and review iCE program to obtain necessary claim numbers and court numbers for vendor invoice payment sheets
  • Monitor payments in Lawtrac and iCE program and update Excel spreadsheets with timely payment information 
  • Prepare weekly updated chart for attorneys’ upcoming matters and monthly status reports with all attorneys’ active matters; submit both reports to General Counsel and Litigation attorneys/paralegals in preparation of meetings; attend all meetings with General Counsel
  • Continually review CCC portal on daily basis to gather stamped orders and ensure coverage of eviction matters; save/print stamped orders from the portal to save in files and Lawtrac program
  • Review emails daily regarding rent eviction orders; updating accordingly to eviction sheet
  • Organize/prepare email and files for eviction court appearances; schedule weekly meetings with litigators to ensure following week’s court coverage 
  • Review new rent eviction matters received from PPMs which are assigned from Supervising Senior Assistant GC 
  • Review Yardi for new rent cases; prepare Complaints and Summons for court filings; work with team members to ensure filings are completed
  • Cover duties for paralegal colleagues, and additional duties as assigned

 

 

QUALIFICATIONS

Graduation from an accredited college or university with a Bachelor's degree in paralegal studies, law, or a related field with a minimum of two (2) years transferrable work experience preferred, OR an equivalent four (4) years of combined college education, and a minimum of four (4) years transferrable work experience in lieu of a Bachelor’s degree. Excellent written and verbal communication skills. Organizational skills with the ability to multitask and able to work under pressure and meet tight deadlines. Proficiency with Microsoft Office Suite a must. Preferably, proficient with some or all of the following legal software: Lawtrac, Lawson, Yardi, File & Serve, Oracle program, iCE program, Microsoft Excel, Word and Outlook programs, Adobe Acrobat Pro, CCC portal, Pacer/CM-ECF (federal court). Familiarity with public housing a plus. This position is not eligible for telework and is a In-Office position, Monday-Friday from 8a – 5p. 

Salary Range: $70,000 – 75,000
