About Administrative Assistant I:
Performs a variety of administrative support duties for County Attorney's Office operations and staff within a Confidential status, including reception and customer service, document and information management, and administrative support to boards and department staff.- Essential Functions
- Prepares, files, and monitors a variety of legal documents. Notifies appropriate parties and ensures legal process continuation. Schedules meetings, appearances, and court dates.
- Coordinates the logistics, documentation, and notifications for a variety of legal processes and events including the Grand Jury, material witness, and interstate detainer.
- Maintains and updates departmental databases and electronic filing systems, ensuring accuracy and compliance. Prepares, files, and tracks information. Facilitates appropriate notifications, schedules, and deadlines.
- Performs payroll and personnel functions, time tracking, and accurate reporting in Dayforce and related systems.
- Tracks, reviews, and monitors departmental budget and grant information; inputs information into management systems and assists with preparing presentations and documentation.
- Administers accounts payable and receivable processes; processes payments in GovSense and ensures proper coding and documentation for invoices, reimbursements, and payments.
- Maintains inventory, equipment, and office supplies, ensuring adherence to budget and procurement policies.
- Provides administrative support to assigned boards, commissions, and teams, facilitating meeting logistics, agendas, communications, including minutes, documentation, and scheduling.
- Provides administrative support to staff, including administering calendars and emails/correspondence, making travel arrangements, processing expenses, and maintaining reports.
- Processes and maintains department documents in accordance with regulations, schedules, and procedures.
- Prepares, monitors, and updates a variety of department reports, lists, and statistics.
- Makes content updates to department website pages; monitors and responds to general inquiries.
- Performs reception duties for the department, including responding to and referring inquiries and directing visitors and callers to appropriate personnel or resources.
- Arranges for building maintenance, repair, and access by contacting vendor or services, ensuring completion of work, and coordinates security/access with Linn County.
- May act as a leadworker to other administrative support staff, including assigning and reviewing work, training other staff, and providing input into work performance.
- Serve as backup to the Office Manager, supporting daily operations and staff as needed.
- Knows the products they personally produce and the customers of each product. Listens to the “Voice of the Customer" and closes gaps between customer expectations and experience whenever possible.
- Performs other duties as assigned.
- Minimum Qualifications & Requirements
- Work requires knowledge of a specific vocational, administrative, or technical nature, which may be obtained, with six (6) months/one (1) year of advanced study or training past the high school equivalency.
- Two (2) years of experience working in a responsible clerical position is required.
