Job Summary:
The Supervising Paralegal will oversee the paralegal team, manage daily paralegal operations, ensure the efficient delivery of legal support services, and processing of SDS to meet weekly cash targets set by finance. This role requires strong organizational, leadership, and legal research skills, as well as the ability to manage multiple projects and deadlines. This role will ensure attorneys are updating Litify and accomplishing reviews of any paralegal tasks
Key Responsibilities:
Financial Responsibility
- Meeting weekly cash targets set by finance – includes ensuring release are being sent out no greater than 5-10 days without a sufficient reason.
- Escalate to the Controller and Operations of Any Release aging greater than 10 days without sufficient reason.
Recruitment & Team Management
- Interview and hire paralegals to support the goals of the department and firm.
- Hiring support or realigning team members if certain goals and KPIs are not able to be achieved.
- Offboard low performers in a timely manner.
- Supervise and mentor a team of paralegals, ensuring high performance and professional development.
- Assign tasks and projects to paralegals, monitor workload, and ensure timely completion.
- Conduct regular weekly team meetings to discuss case progress, challenges, and solutions.
Legal Support
- Provide advanced legal research, analysis, and drafting of documents such as contracts, pleadings, and legal correspondence.
- Assist attorneys in case preparation, including organizing and maintaining case files, preparing exhibits, and managing discovery processes.
- Ensure all legal documentation complies with applicable laws and regulations.
Project Management
- Task Management- ensuring no overdue task by weeks end.
- Oversee and manage large-scale legal projects from inception to completion.
- Develop and maintain project timelines, track milestones, and ensure deadlines are met.
- Coordinate with internal and external stakeholders to facilitate smooth project execution.
Operational Efficiency
- Ensuring client calls within 30-day standard for active clients and 60 for inactive clients with Touchpoint trackers.
- Litify data is properly entered by attorneys/Paralegals
- Ensuring that Form A are completed within 30 days of complaint being filed.
- Implement and improve processes and systems to enhance the efficiency and effectiveness of the legal department.
- Monitor and manage the paralegal budget, ensuring cost-effective use of resources.
- Maintain up-to-date knowledge of legal technology and recommend tools to streamline operations.
Compliance and Risk Management
- Ensure the legal team adheres to firm policies and procedures.
- Identify potential risks and develop strategies to mitigate them.
- Conduct periodic audits of legal processes and documentation for compliance.
Training and Development
- Creating a new paralegal buddy system
- Training Paralegals and assisting with any concerns
- Develop and deliver training programs for paralegals to enhance their skills and knowledge.
- Stay abreast of changes in laws and regulations and ensure the team is informed and trained accordingly.
- Foster a culture of continuous learning and professional development within the team.
Client Relations
- Serve as a point of contact for clients, addressing their inquiries and providing updates on case progress.
- Handling any upset client issues timely and effectively.
- Build and maintain strong relationships with clients, ensuring high levels of satisfaction.
- Assist in the preparation of client presentations and reports.
Qualifications:
- Bachelor’s degree in Legal Studies, Business Administration, or related field. Paralegal certification preferred.
- Minimum of 7 years of experience as a plaintiff personal injury paralegal, with at least 2 years in a supervisory or management role.
- Experience with plaintiff personal injury in multiple states is a plus.
- In-depth knowledge of legal procedures, terminology, and documentation.
- Passion for leading and developing a team.
- Strong leadership and team management skills.
- Excellent organizational and project management abilities.
- Proficient in legal research tools and software.
- Strong written and verbal communication skills.
- Ability to handle multiple tasks and work under pressure.
Compensation Range:
$110,000 - $125,000 USD
