
Paralegal
Job Overview: We are seeking a highly organized & proactive Paralegal to support the Executive Vice President and Sr. Leaders. This unique hybrid role combines traditional paralegal responsibilities with high-level executive support, requiring a professional who can confidently handle sensitive legal matters while also managing calendars, projects, briefings, operational priorities, and special projects for senior executives. This is a highly visible role that requires strong judgment, exceptional attention to detail, and the ability to balance multiple priorities in a fast-paced environment.
Key Responsibilities
What you'll do:
Legal & Regulatory Support:
- Draft, edit, and review legal documents, contracts, NDAs, regulatory filings, and corporate records
- Conduct legal research and summarize findings related to insurance, financial services, and regulatory issues
- Support corporate governance activities including preparation of board materials, resolutions, and maintenance of corporate documents
- Assist with litigation, audits, compliance matters, and document discovery
- Organize and maintain physical and digital legal files, ensuring confidentiality and version control
Executive Administrative Support:
- Manage complex calendar scheduling, travel coordination, and meeting logistics for the EVP
- Prepare meeting agendas, talking points, and follow-up documentation; take and distribute detailed notes
- Screen and prioritize communications, ensuring timely and appropriate responses
- Maintain confidentiality while handling highly sensitive legal, business, and personnel matters
Strategic & Operational Coordination:
- Track key legal and business initiatives, ensuring follow-through on deadlines and deliverables
- Prepare executive dashboards, initiative trackers, and briefing materials to support strategic decision-making
- Assist in the preparation of high-quality presentations and reports, including board decks, project summaries, and KPI updates
Vendor & Partner Management:
- Track contract renewal timelines and manage vendor calendars, including scheduling of Quarterly Business Reviews (QBRs)
- Serve as a point of contact with external legal partners, coordinating deliverables and maintaining records
- Monitor invoices, budgets, and vendor performance as needed
Team & Cross-Functional Support:
- Coordinate cross-functional legal and compliance initiatives and facilitate communication between internal stakeholders
- Support team planning, department communications, and logistics for offsites and key meetings
- Act as a liaison for the Legal Department with other functional groups, helping drive alignment on shared priorities
Job Requirements
- Associate's or Bachelor's degree required; Paralegal certificate (ABA-approved program) preferred
- 3–5+ years of combined experience in a paralegal and/or executive assistant capacity, preferably in financial services or insurance
- Strong understanding of corporate law, insurance regulation, or financial compliance a plus
- Exceptional written and verbal communication skills
- High level of professionalism and discretion in handling confidential and sensitive information
- Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and legal research tools
- Self-starter with excellent time management, prioritization, and multitasking abilities
Desired
- Prior experience supporting C-suite executives or General Counsel
- Familiarity with NAIC processes, SEC filings, or state insurance department requirements
- Experience using board management platforms, contract lifecycle systems, and/or legal operations tools
- Notary Public certification or willingness to obtain
