Dykema Gossett PLLC, a leading national law firm, is recruiting for an Events Coordinator for our Dental Services Organization (DSO) and Medical Services Organization (MSO) practice teams in Dallas, Texas. The DSO/MSO Events Coordinator assists attorneys with various logistics surrounding industry events and conferences. Responsibilities include serving as the point of contact for conference venues and vendors, shipping event materials and promotional items, and assisting with any onsite needs, including event booth set-up and related activities. This position will help nurture a strong industry network and will work collaboratively with the DSO/MSO teams on numerous projects. The Coordinator also works closely with the Marketing department and reports to the DSO/MSO Events Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist in coordination of DSO/MSO conference(s) to support the DSO/MSO team.
- Oversee attorney event registrations and ensure attorneys have all necessary materials in advance of the conferences.
- Travel to and attend numerous DSO/MSO conferences each year and assist with on-site registration, set-up, and other conference-related tasks.
- Assist events team with pre-conference support, including answering questions and serving as a resource to potential and registered attendees.
- Record contact information of conference attendees for potential representation and other follow-up by attorneys.
- Maintain event supply storage and restock additional items, as necessary.
- Coordinate transportation, schedules, client dinners, and other logistics for attorneys while onsite at an event.
- Process invoices; reconcile event credit card charges and invoices on a timely basis.
- Assist in posting and promoting events on LinkedIn and other social media sites; monitor the Dykema DSO/MSO inbox, providing timely responses.
- Prepare conference rooms prior to attorney arrival by ensuring equipment and room is set up appropriately.
- Perform duties and other responsibilities/tasks as assigned.
SPECIALIZED JOB FUNCTIONS
- Required travel (10-15%) for site inspections and to special events/outings including set-up of same;
- Reliability and ability to work flexible hours. Some evenings, weekends and out-of-town travel are required; and
- Ability to pack, lift, transport and set up materials needed for events, including equipment, signage, marketing materials, etc., which may weigh 25-30 pounds.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- At least one year of related experience in professional event coordination; experience in a law or other professional services firm preferred;
- Bachelor’s Degree preferred or, comparable level of training such as that which may be acquired through work experience in event planning and project management;
- Excellent verbal and written communications skills are required;
- Ability to work independently, while also working in a collaborative environment;
- A strong team orientation, collegial demeanor, and a willingness to do what is needed to accomplish tasks and team goals;
- Project management experience with strong attention to detail;
- Strong analytical and organizational skills required and an ability to prioritize and complete simultaneous projects timely;
- Good judgment, tact, and flexibility under pressure;
- Collaborate and communicate effectively with individuals at all levels; and
- Proficiency in utilizing Microsoft Office Suite; LinkedIn and other social media platforms; working knowledge of CVENT event planning and Salesforce customer relationship management software preferred.
