The City of Fayetteville is currently recruiting for an Executive Legal Assistant to perform a wide variety of responsible, confidential, and complex administrative, technical and legal support duties on a day-to-day basis for the City Attorney and Assistant City Attorneys; to serve as liaison with City Council, department directors, division managers, staff representatives of other organizations, elected and appointed officials, and the public in general.

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Respond to public requests for information and complaints by determining the nature of the problem, except where technical, legal, or administrative complexities required direct involvement of the City Attorney; resolve problems by researching, interpreting, and analyzing a variety of complex and varied policies, procedures, and regulations in order to select the most appropriate course of action or referral to appropriate staff member within the department or outside the department, including referrals to external agencies.
  2. Take and transcribe dictation for the drafting of a variety of correspondence and legal documents including reports, statements, deeds, resolutions, court pleadings, ordinances, legal opinions, contracts and briefs; prepare complaints, other pleadings and general correspondence from copy or rough draft. Design and organize records management and information storage and retrieval systems.
  3. Coordinate departmental budget to include researching information, gathering cost information, formulating and preparing the City Attorney’s department budget, monitoring the budget, and determining line item transfers.
  4. Supervise payroll activities for the City Attorney’s department and maintains payroll records.
  5. Compose a variety of documents including general correspondence, reports, memoranda and statistical charts.
  6. Arrange travel/training registrations and reservations to include preparation of itinerary, expense reports, and other related documents.
  7. Files pleadings in accordance with Federal, state, and local court procedures.
  8. Maintain, coordinate, and schedule appointments, depositions, and travel arrangements for the City Attorney; maintain legal follow-up information for deadlines.
  9. Provide administrative, technical, and secretarial support to assigned departmental staff, which includes:  preparation of legal pleadings, ordinance violations, general correspondence, calendar scheduling and telephone response.
  10. Supervise the requisitioning of supplies and materials as required, and the maintenance of copy and facsimile machines.
  11. Review, research, and summarize a variety of fiscal, administrative, and departmental information and prepare related reports and correspondence.
  12. Perform special projects and assignments as requested by the City Attorney.
  13. Input City Council agenda items into applicable software application.
  14. Perform other job related duties as assigned.

MINIMUM QUALIFICATIONS

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: 

Experience: 
Three years of progressively responsible experience in legal administrative/office management work.  

Training:   
Equivalent to completion of an Associate’s degree from an accredited college or university in business administration or a related field.

LICENSING & CERTIFICATIONS:

Required: 
Commissioned by the State of North Carolina as a Notary Public.

Preferred: 
Legal Administration certification.

From the time of closing, the selection process is anticipated to last approximately 4 - 6 weeks.  The process will consist of a panel interview with the selected candidate being subject to a pre-employment drug screen, background check and driving history check.
