The New Business Intake Supervisor is responsible for leading the Firm’s new business intake function, ensuring the timely, accurate, and compliant processing of new matters and conflict checks. This role oversees daily intake operations, manages team workflow, and serves as the primary escalation point for partners, attorneys, and internal stakeholders.
The Supervisor plays a critical role in maintaining operational efficiency, supporting compliance with ethical obligations, and driving continuous improvement within the intake process. In addition to leadership responsibilities, this position actively participates in complex intake reviews, client portal operations, and coordination with the Conflicts Team.
Duties and Responsibilities
Supervisor & Leadership Responsibilities
- Supervise and support New Business Intake Coordinators, providing daily guidance, direction, and performance oversight
- Assign and manage intake and conflict check requests across regions to ensure balanced workload distribution and timely completion
- Monitor turnaround times and ensure adherence to service level expectations
- Review intake submissions for completeness, accuracy, and compliance with Firm policies and ethical obligations
- Serve as the primary escalation point for intake-related inquiries and issues from partners, attorneys, and internal teams
- Train, mentor, and onboard of new team members; support ongoing professional development
- Identify workflow inefficiencies and implement process improvements to enhance team productivity and service delivery
- Assist with departmental initiatives, reporting, and special projects
- Perform additional duties as assigned
New Matter & Client Intake
- Oversee the collection and review of required information for new client and matter intake, including party details, affiliations, and matter descriptions
- Review incoming referrals and supporting documentation for completeness and accuracy prior to conflicts submission
- Communicate with attorneys, staff, and referral sources to resolve missing or unclear information
- Ensure accurate and timely entry of client and matter data into the Firm systems
- Maintain proper documentation of all intake activities in accordance with Firm recordkeeping standards
Conflicts Coordination & Compliance
- Coordinate with the Conflicts Team to ensure timely and thorough conflicts checks are conducted.
- Work closely with attorneys and conflicts personnel to clarify or supplement information necessary for accurate analysis
- Ensure compliance with Firm policies, professional responsibility standards, and regulatory requirements
- Track, analyze, and report intake metrics and workflow trends to department leadership
Qualifications & Skills
- High school diploma or equivalent (associate or bachelor’s degree preferred)
- 4+ years of experience in legal intake, conflicts, or case management within a law firm environment
- Prior supervisory or team lead experience is strongly preferred
- Experience working with legal intake or referral portals preferred
- Strong knowledge of legal terminology, intake procedures and conflict checking processes
- Proficiency in Microsoft Office Suite and experience with document and case management systems
- Excellent attention to detail with the ability to manage multiple priorities in a fast-paced environment
- Strong leadership, organizational, and problem-solving skills
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion
- Ability to work independently and collaboratively across departments

Salary Description
$90,000 - $115,000
