MG+M The Law Firm (MG+M) has an immediate opening for Legal Office Assistant
in our Chicago, IL office. MG+M is a nationally renowned litigation law firm concentrating on complex civil matters. The firm's expertise is diverse but focused in the areas of toxic tort, complex product liability, local government, general liability, and commercial litigation. We approach litigation as a unified team, integrating our efforts with those of our clients to advance their interests wherever they do business. Position Overview: The Legal Office Assistant is responsible for assisting in the execution of daily operations in MG+M’s Chicago office. This role involves managing front desk operations, ensuring the office is well maintained and providing administrative support to staff and legal professionals. The Legal Office Assistant will aid in fostering a welcoming, organized, efficient and professional workplace. The Legal Office Assistant will work closely with Chicago’s Office Manager with additional oversight from the Chicago Partnership.

Key Responsibilities:
Front Desk Management
- Greet and assist visitors with a friendly and professional demeanor.
- Answer and direct phone calls, emails or other correspondence to the appropriate departments or individuals.
- Handle outgoing and incoming mail and packages.
- Maintain accurate visitor logs and ensure security procedures are followed.
- Maintain a clean, organized, welcoming reception area.
- Manage the Chicago office shared calendar.
Office Maintenance
- Order and manage office supplies to ensure a well-stocked and organized workspace.
- Manage conference room bookings and ensure meeting spaces are equipped and at the ready.
- Maintain general office spaces including all conference rooms and kitchens, ensuring the environment is clean, organized and professional.
- Coordinate with facility management for maintenance or repairs as needed.
Administrative Support
- Photocopying, indexing, and organizing documents quickly and efficiently.
- Assist legal professionals with document organization and projects.
- Support the HR team with onboarding processes and employee documentation.
- Expense and invoice processing as needed.
- Perform other duties as assigned.
Skills + Abilities:
- General knowledge of Microsoft Office, especially Outlook, Word and Excel.
- Communication: Possess excellent verbal and written communication skills. Ability to professionally communicate with a wide variety of individuals.
- Dependability: Follow instructions; complete tasks on time; commit to the hours necessary to complete assignments; work independently.
- Team Work: Contribute to building a positive team spirit; support everyone’s efforts to succeed.
- Attendance & Punctuality: Be consistently at work and on time; contact supervisor when any scheduling issues arise.
- Technical Skills: Possess basic PC skills; ability to use phone system, copier, scanner, fax, and printer.

Qualifications:
- Minimum of a high school diploma required (college degree is preferred but not required).
- Prior law firm experience is preferred but not required.
- Candidates who are currently enrolled in a degree program must have a minimum GPA of 3.0.
Job Type/Pay: Full-time, on-site position – no flexible work option available. 35 hours per week. Salary range between $40,000 - $50,000.
