The Community Assistant Legal Assistant is responsible for assisting their assigned Attorney(s) on their day-to-day operations of their practice and clients.

DUTIES/RESPONSIBILITIES:

  • Manages calendar and scheduling.
  • Interacts with potential and existing clients as required.
  • Processes attorney expense reports.
  • Registers attorney’s CLE credits with Florida Bar.
  • Enters attorney time in billing software (Aderant).
  • Edits Unbilled Time Report or casual pre-bills prior to monthly deadlines.
  • Files documents/emails in the document management system (iManage).
  • Ensures accuracy of the information in the customer relationship management system (InterAction).
  • Manages all documents related to the file opening process.
  • Oversees file closing procedures to ensure all funds have been cleared/distributed and vendor invoices have been paid.
  • Performs corporate searches and utilizes Florida’s Department of Business and Professional Regulation (DBPR) and Property Appraiser’s websites.
  • Assists with creating, editing, revising, and finalizing of documents including but not limited to letters, enclosures/exhibits, memos, amendments, addendums, covenant enforcement letters, general contracts, etc.
  • Maintains the Marketable Record Title Act (MRTA) log and tickler file for all Homeowner Association (HOA) and Property Owners Association (POA) clients.
  • Assists with drafting MRTA notification letters.
  • Prepares Annual and Special Meeting Notice Packages.
  • Processes incoming and outgoing mail.
  • Handles telephones including but not limited to taking detailed messages and forwarding to the respective attorney/supervisor.
  • Any and all other duties as may be required of the job.

REQUIRED SKILLS/ABILITIES:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to organize files and workflow.
  • Ability to maintain confidentiality, and to exercise discretion and good judgment.
  • Proficient with Microsoft Office Suite or related software.
  • Familiarity with iManage, File Site, and Aderant, preferred.

EDUCATION AND EXPERIENCE:

  • Associate degree in Paralegal Studies or related field required; bachelor’s degree in Paralegal Studies or related field preferred.
  • A minimum of three (3) years related experience in a law firm or corporate legal environment required.
