Job Description

The Legal Secretary will provide comprehensive administrative and secretarial support to the legal team, and report to the Chief Legal Officer (CLO) but will have responsibilities assigned by the entire C-suite of both Koin and Marker Trax, in a fast-paced, dynamic environment. The Legal Secretary role requires a proactive individual with a keen eye for detail who can assist in preparing legal documents, managing schedules, and providing critical support to the Companies' Legal and Regulatory functions. The ideal candidate will possess strong organizational skills, excellent communication abilities, and the capacity to manage multiple tasks while maintaining confidentiality and professionalism.

Location

In-person in Las Vegas, NV, 89103: Reliably commute or plan to relocate before starting work (required).

Responsibilities

  • Draft, proofread, and edit legal documents such as contracts, agreements, and correspondence, ensuring accurate formatting and compliance with company policies and legal requirements.
  • Maintain and organize legal files, including contracts, licensing agreements, litigation documents, and compliance materials, ensuring easy retrieval and confidentiality.
  • Assist in the preparation, review, and tracking of contracts and agreements with external parties to ensure alignment with Koin and Marker Trax standards.
  • Manage and coordinate schedules including meetings, internal reviews, and external appointments, while ensuring all deadlines are met.
  • Act as a liaison between the legal and regulatory team and internal cross-functional teams as well as external stakeholders, such as law firms, regulatory agencies, and vendors.
  • Assist in basic legal research related to payments technology, data privacy, compliance, and other areas of law relevant to the operations of Koin and Marker Trax.
  • Assist in tracking and ensuring adherence to regulatory compliance standards.
  • Provide general administrative and secretarial support such as filing, handling phone calls, managing legal correspondence, and handling confidential information with discretion.

Skills / Experience

  • Associate Degree in Paralegal Studies, Business Administration, or a related field and/or equivalent work experience.
  • At least 3 years of experience as a Legal Secretary, Paralegal, or Administrative Assistant, preferably within the technology, gaming, and/or payment sectors.
  • Extensive experience in drafting, negotiating, and managing transactional contracts, including commercial agreements, service contracts, licensing arrangements, and vendor agreements, with a strong focus on risk mitigation, compliance, and aligning contractual terms with business objectives.
  • Experienced in managing and preparing regulatory license filings, including the submission of applications, compliance documentation, and ensuring adherence to local, state, and federal regulations.
  • Familiarity with legal frameworks, data protection laws, intellectual property, and compliance regulations.
  • Proficient in utilizing a contract management and analysis software, preferably Lexion, including the automation of document review, extraction of key terms, and the efficient management of contract lifecycles, enhancing legal operations and ensuring compliance with organizational standards.
  • Familiarity with legal research tools such as LexisNexis, Westlaw, and/or a similar research tool.
  • Strong proficiency in Microsoft Office Suite, specifically MS Word, and MS Excel.
  • Proficient in using WordPerfect for document creation, editing, and formatting, with a strong understanding of its advanced features and tools.
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize deadlines.
  • Strong attention to detail and accuracy.
  • Strong problem-solving abilities and critical thinking skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong communication and interpersonal skills, with the ability to interact effectively with internal and external stakeholders.
  • The ability to be proactive and work independently.
  • Ability to be flexible on work hours as system emergencies arise.

Physical Requirements

  • Sit for prolonged periods of time at a desk working on a computer.
  • Ability to speak effectively and clearly to answer phone calls.
  • Use their hands to type, handle, control, and feel objects, tools, or controls.
  • Repeat the same motions.
