POSITION SUMMARY: The Senior Real Estate Paralegal will be responsible for managing various aspects of the development, ownership and operation of a Pivotal Housing Partner’s affordable housing portfolio. For Pivotal’s development team, this includes drafting purchase agreements, managing deadlines and funds for those purchase agreements, forming new entities for projects under development, and assisting with closings. For Pivotal’s property operations team, this includes reviewing legal documents for a large affordable housing portfolio, assisting with resolution of fair housing complaints, coordination of discovery responses for the litigation docket, tracking existing real estate tax abatements, and overseeing outside counsel invoicing.
ESSENTIAL FUNCTIONS:
Land Contracts
- Draft and assist with the negotiation of purchase and sale agreements for Pivotal’s developers.
- Update and manage Pivotal’s land matrix to ensure all deadlines for deposits, extensions, closings or terminations are met.
Entity Management
- Form new entities and manage the documents and tracking of those entities.
- Coordinate completion of registered agent documentation.
Litigation Support
- Track litigation, fair housing complaints, and other legal notices to ensure deadlines are met.
- Manage discovery responses and maintain databases of construction liens, claims, and other notices.
- Source and coordinate outside counsel for evictions in multiple states.
Insurance Claim Management
- Process insurance claims for the affordable housing portfolio.
- Collaborate with internal teams and third parties to ensure timely claim resolution.
Document & Communication Management
- Review and process incoming documents for distribution.
- Maintain service of process database and track follow-up actions.
Real Estate Tax Abatements and Incentives
- Coordinate completion and delivery of annual forms related to tax abatements and incentives.
Financial/Invoice Management
- Review and process outside counsel invoices.
- Maintain a legal expense database and prepare expense reports for the executive team.
General Legal Support
- Assist the executive and development teams with closings and document execution.
- Provide additional support to the legal team as needed.
QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)
- Paralegal degree or certificate, or equivalent combination of education and experience.
- 5+ years of experience in real estate development and / or property management.
- Strong organizational and communication skills, with the ability to manage multiple priorities.
- High attention to detail and accuracy.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience managing databases and tracking preferred.
