Job Description

At the AK Law Firm, Injury Lawyers, a Houston based Personal Injury firm, we provide exceptional legal representation for those who have been injured due to the negligence of others. We are seeking a skilled Executive Administrative Assistant to deliver efficient secretarial and administrative support in a well-organized and timely manner.

The ideal candidate will provide administrative support as the CHRO’s personal assistant. The Executive Administrative Assistant will act as an extension of the Chief Human Resources Officer "CHRO" when engaging with colleagues and clients in the utmost professional manner.
  • As an individual contributor, you will provide personalized assistance, ensuring smooth operations and effective communication.
  • Your responsibilities will range from managing schedules and correspondence to organizing meetings and maintaining confidentiality.
  • We require someone who is proactive, detail-oriented, and possesses exceptional organizational and communication skills.
  • HR Support: Assist in the onboarding of new employees, training coordination, and maintaining employee records.
  • Serve as front desk back up to Legal Receptionist for meals and breaks.
  • Payroll- Assist with payroll bi-weekly, semi-annual, and annual reports to various agencies, TWC, IRS, and CPA firm. Experience with HRIS systems preferably (PayChex).
  • Provides high-level administrative support and assistance to the CHRO.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for HR department.
  • Schedules and attends meetings on behalf of CHRO, taking notes and recording minutes.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping, to include expense management.
  • Organizes and prioritizes multiple tasks and completes them under strict time constraints
  • Answers and transfer all telephone calls, takes accurate and concise messages.
  • Manages daily correspondence and filing; organizes and maintains an electronic and/or hard-copy document filing system.
  • Handles and safeguards confidential and sensitive company and personal information.
  • Remains knowledgeable of business unit and corporate policies
  • Identifies and works to improve internal process and works to develop the firm's policies as needed.
  • Reviews and edits client-related documentation
  • Maintains client and administrative filing procedures
  • Assist with other projects as needed
  • Completes assignments with little supervision and perform other duties as assigned
Certificates and Licenses:
Valid driver’s license required and Notary Public preferred.

Education and Experience:
  • High school diploma required, bachelor’s degree in business administration or related field preferred.
  • At least 5 years of related experience required.
  • Discretion and confidentiality a must 
  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
  • Full comprehension of office management systems and procedures
  • Must possess strong grammatical and proofreading skills
  • Prefer experience working in a law firm environment.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Exemplary time management skills with a proven ability to meet deadlines.
  • Solid experience creating contracts and policies of a sensitive, complex, and confidential nature.
  • Proficient with Microsoft Office Suite or similar software, CRM tools with the ability to learn new or updated software.
