Well established Developer in Jersey City has an immediate opening for a Legal Administrative Assistant for its Legal Department. This role requires someone who is well organized and can manage multiple tasks in a fast-paced environment. Prior Real Estate experience a plus!
Position Summary:
- Administrative business activities routinely include mail and messaging, functionality of copy / scan / printer machines and other office equipment, central filing, telephone, and supplies.
- Provides Administrative Assistant support to several senior staff, including CEO; may include scheduling regular and special meetings; prepares confidential correspondence; maintains sensitive files; receives visitors, schedules appointments.
- Performs a wide variety of non-routine administrative tasks, such as preparing reports, coordinating activities, investigating and resolving problems, and handling special projects.
- Keeping track of and updating insurance coverage information as needed.
- Assist with ordering title insurance, clearing title encumbrances, reviewing title reports, surveys, and documents of record.
- Drafting of Deeds.
- Assistance as needed with construction projects.
- Assistance as needed with property management.
- Create and maintain Limited Liability Companies, Corporations, and associated corporate documents.
- Assist in-house Attorney with drafting of Non-Payment of Rent Complaints, occasional Legal Research, Notices to Tenants, and other necessary tasks as needed.
- Support and assist team as needed while maintaining professional conduct at all times.
- Self-motivated.
- Critical thinker and ability to problem solve.
Qualifications and Requirements for Applicants:
- Bachelor's degree a plus;
- 5 years' experience in an administrative role - part-time or full-time;
- Must have effective interpersonal skills and ability to multi-task;
- Strong written and verbal communication skills and ability to work with individuals at all levels of the organization and in the public;
- Excellent Word, Excel, Google Drive and Google Workspace skills are a must;
- Must be able to work well independently and as part of a team;
- Proficiency in Yardi a bonus!
Salary: $50-55K depending on experience
