Basic Function
The PA Office of Attorney General (OAG) is looking for a detail-oriented administrative professional to join our dynamic team in Philadelphia. The Gun Violence Task Force Administrator supervises legal and administrative assistants to coordinate and support the operations of the Philadelphia Gun Violence Task Force (GVTF). The GVTF is a city-wide, joint task force with the Philadelphia Police Department and the Philadelphia District Attorney’s Office (DAO) that investigates and prosecutes firearms trafficking, the straw purchase of firearms, the movement of illegal guns, and violent gun crime. GVTF is comprised of experienced investigators, a program manager, criminal analysts, contractors, administrative staff, Deputy Attorneys General, and Assistant District Attorneys. This position reports to the Chief Deputy Attorney General (CDAG) of the GVTF.
Work is of moderate complexity and scope and includes administrative and legal support for the Section Director and CDAG. Assignments require detailed knowledge of the functions, procedures, and organization of the OAG/GVTF and may require familiarity with technical terminology and principles. Work includes performing travel coordinator functions for all GVTF personnel, processing monthly invoices from DAO, scheduling, maintaining confidential informant files, entering expenses in the Case Expense Tracking system, assisting with reporting on monthly statistics, generating weekly activity reports, assisting with discovery and trial preparation, and maintaining cases in MCIS. Regular duties and special assignments are received through general instructions and are performed with considerable independence. Completed work and performance are reviewed by supervisory staff within the GVTF for soundness of reasoning, effectiveness, and conformance with established policies and objectives.

- Assists the Section Director and CDAG of the GVTF in the management of the task force
- Collects, interprets, analyzes, and summarizes information to be used as a basis for executive action
- Studies and analyzes administrative operations and problems, prepares detailed and comprehensive reports of findings and recommendations, and assists in implementing procedural or policy changes
- Schedules, prepares agendas, and makes arrangements for hearings or meetings
- Prepares budget estimates and other fiscal and statistical reports, and monitors budget expenditures
- Directs GVTF procurement and purchasing
- Coordinates overtime reimbursements of local police departments
- Insures adherence to administrative standards through maintenance of control systems
- Drafts and submits weekly report of GVTF unit activity
- Analyzes and reports on monthly, quarterly, and yearly GVTF unit activity
- Reviews correspondence, news sources, technical literature, and departmental activities, and informs superior of significant developments and problems
- Prepares defendant case and criminal history summaries as needed
- Drafts and submits significant event memoranda on notable case events (e.g. arrests, seizures, etc.); assists and provides information for press releases
- Performs related work as required
- Minimum Experience and Training
- One year as an Administrative Officer 1 OR
- Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement; and a Bachelor's Degree OR
- Any equivalent combination of experience and training
