Responsibilities

Mailroom Clerks are a vital part of the company. They are the gatekeepers of the incoming and outgoing mail. With their time management & organizational skills they are indirectly helping our clients’ cases stay current by keeping our legal teams up to date. Responsibilities:

  • Receive mails coming into the organization or from the post office.
  • Record the date of receipt, name of the sender, and location of the receiver.
  • Sort the mails or packages according to locations or departments.
  • Weigh each mail or package and append the appropriate amount of postage stamp.
  • Deliver mails to departments and to individuals within the organization; and collect mails to be sent out from them.
  • Ensure that mailroom never run short of materials required for posting mails such as postage stamps, envelopes, and markers.
  • Maintain a good relationship with courier agencies to ensure that they are readily available when the need for their services arises.
  • May be responsible for procuring materials used by the mailroom.
  • Ensure that the mailroom and surroundings are always neat.
  • Maintain high level of confidentiality in handling mails.
  • Monitor the movement of mails sent outside the organizations.
  • Assist in training newly employed mail clerks.
Qualifications

Qualifications:

  • Polished professional with outgoing attitude, be a team player.
  • Outstanding time-management and typing skills with proficiency.
  • Demonstrated excellent organizational, coordinating, and personal interface skill.
  • Proven job diligence, dedication, and attention to detail
  • Comfort and experience interfacing with various levels of staff and management, while working in a fast-paced environment
  • Familiarity and working knowledge of general office machines (fax, copier, printers, etc.)
  • Computer Competency with working knowledge of MS Office (Outlook, Word, Excel, etc.)
  • Professional presentation in attire, demeanor, appearance, and compliance to company dress code
  • Demonstrate excellent written and verbal communication skills, including the ability to successfully communicate with the public, other employees, and vendors.
  • Strong sense of confidentiality and ability to exercise sound judgment.
  • Ability to work under pressure to meet deadlines.
  • Must be able to lift to 30 pounds.
  • Must be able to traverse office facilities to pick up mail.
  • The ability to learn locations and organizational structure of the company.
  • Basic understanding of postage rates and regulations.
  • Ability to correctly sort and distribute large amounts of mail.
  • Understand and follow written and oral instructions.
  • Previous experience working in Law firm is a plus.
