The Legal Administrative and Social Media Marketing Assistant is responsible for providing comprehensive administrative and social media marketing support to an executive partner. This position combines traditional legal administrative responsibilities with business development, client communication, and marketing support functions designed to enhance attorney visibility, strengthen client relationships, and support growth initiatives.
Key Responsibilities:
1. Legal Administrative Support
o Format, proofread, and finalize legal documents, correspondence, pleadings, reports, and presentations.
o Prepare rough drafts and ensure accuracy before finalizing legal documents.
o Ensure compliance with client guidelines relating to document preparation, service, filing, billing, and other client-specific requirements.
o Assist with entering attorney time.
o Answer and screen calls for attorneys while maintaining professionalism, discretion, and excellent client service.
o Assist with scheduling meetings, conferences, and other attorney appointments.
2. Business Development & Marketing Support
o Assist with the preparation, editing, and distribution of client communications, newsletters, and legal updates.
o Support attorney business development efforts by maintaining contact lists, client databases, and marketing materials.
o Maintain attorney biography, practice area descriptions, and office information for firm publications and online platforms.
o Maintain attorney client contact databases, distribution lists, and mailing lists to support client outreach and business development efforts.
o Coordinate the posting and scheduling of approved content across the firm's social media platforms.
o Assist with the creation, formatting, and distribution of email marketing campaigns and client alerts.
o Assist with gathering and organizing marketing analytics, website statistics, event participation data, and other reporting metrics.
Required Qualifications:
1. Education
o Associate's degree or bachelor's degree in Marketing, Communications, Business Administration, Legal Studies, or a related field preferred.
2. Experience
o Minimum of 5 years of administrative experience preferred.
o Experience in a law firm or professional services environment preferred.
o Marketing, communications, business development, public relations, or professional services marketing experience preferred.
o Experience managing LinkedIn content, email marketing campaigns, contact databases, or CRM platforms preferred.
3. Skills
o Strong written communication, proofreading, grammar, and editing skills.
o Strong organizational, prioritization, and attention-to-detail skills.
o Ability to maintain strict confidentiality and exercise sound judgment.
o Excellent interpersonal skills and ability to communicate effectively with attorneys, clients, staff, vendors, and business contacts.
o Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
o Familiarity with social media platforms, email marketing tools, and CRM systems preferred.
o Ability to manage multiple priorities and deadlines in a fast-paced environment.
Physical Requirements:
1. Frequent sitting, keyboarding, telephone use, reading, and computer work.
2. Occasional bending, stooping, and lifting of up to 25-50 pounds.
