Clark Hill PLC seeks an experienced full-time Legal Administrative Assistant in its Birmingham Office. A minimum of 3-5 years of Legal Administrative experience and the ability to work in a team environment is required. Experience supporting corporate, real estate and/or estate planning attorneys is preferred. This position reports to the Office Manager, as well as to assigned attorneys, and is responsible for, among other activities, (i) providing the requisite legal secretarial and administrative support/clerical needs of assigned attorneys; (ii) preparing letters, memos, and other documentation, as required; (iii) entering client information into the system to run conflict checks for new clients, as well as preparation of supporting documentation such as engagement letters; (iv) preparing and filing probate pleadings with the appropriate court system and docketing dates into a central docketing system, as needed; (v) making travel arrangements and preparing expense reimbursement documentation; (vi) answering the phones of assigned attorneys; and (vii) entering attorney time. As a Legal Administrative Assistant, candidates must be able to (i) assist attorneys in drafting and finalizing transaction documents and closing binders; (ii) liaise with clients, lenders, title companies and other parties involved to ensure timely closings; (iii) maintain organized and accessible transactional files for future reference. While this position will assist attorneys in the Corporate, Real Estate or Estate Planning areas, the successful candidate must be willing and able to help attorneys, legal assistants, and others in other areas of practice.
The successful candidate will have excellent computer skills utilizing all aspects of Office 365 and will have excellent attention to detail with superb proofreading skills. Candidates must be able to prioritize and manage a high-volume and diverse workload and thus must be able to handle multiple tasks at one time with exceptional organizational skills. A team player, the Legal Administrative Assistant must be able to absorb information quickly and adapt to change. Sound judgment and business acumen when interacting with clients, potential clients, guests, coworkers, and others is a must. Certified Legal Secretary designation is a plus.
Essential Job Functions:
• Provide legal secretarial and administrative (clerical) support to assigned attorneys.
• Prepare letters, memos, and other documentation as required.
• File documents (electronically or otherwise) with the appropriate agencies.
• Docket dates into a central docketing system.
• Make travel arrangements.
• Prepare expense reimbursement documentation.
• Provide documentation, as required, to clients, opposing counsel, and others.
• Enter conflict information into the system to run conflict checks for new clients and prepare supporting
documentation
• Maintain an appropriate filing system for all attorney and client work.
• Answer incoming phone calls for assigned attorneys and legal assistants unless otherwise directed.
• Enter attorney time.
• Perform other duties or tasks as assigned or requested (as needed) by the Office Manager, attorneys, or legal
assistants.
Minimum Requirements:
• A minimum of 3-5 years of legal administrative assistant experience.
• Excellent computer skills utilizing MS Word, Outlook, and related MS software.
• Excellent attention to detail and proofreading skills.
• Ability to handle multiple tasks at one time.
• Excellent prioritization skills and the ability to manage a high-volume and diverse workload for multiple
people.
• Excellent organizational skills.
• Must be self-motivated.
• Must be a self-starter.
• Must be able to work as part of a team.
• Ability to absorb information quickly and adapt to change.
• Ability to exercise sound judgment and business acumen when interacting with clients, potential clients,
guests of the firm, co-workers, and others.
• Excellent communication skills, both verbal and written.
• High School diploma or GED equivalent required.
• Designation as a Certified Legal Secretary is a plus.
The salary range at the time of posting is $55,000-$65,000 annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus.
