Job Description

This position provides comprehensive legal and administrative assistance to agency attorneys. Responsibilities include conducting legal and regulatory research, drafting and reviewing legal documents, supporting regulatory compliance efforts, coordinating administrative hearings, and managing legal files and documentation. It requires a strong foundation in legal support services, attention to detail, discretion in handling confidential information, professionalism in communication, and the ability to manage multiple priorities in a compliance-driven, fast-paced regulatory environment.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Duties

  • Conduct legal and regulatory research related to tribal gaming, event wagering, fantasy sports, and racing regulation. Assist attorneys in drafting legal memoranda, reports, administrative rulings, and regulatory guidance.
  • Support the preparation of administrative proceedings, including drafting notices, subpoenas, and hearing materials. Organize and maintain case files, legal databases, and agency correspondence with external counsel or regulated entities.
  • Assist in coordinating legal division filings, deadlines, and case tracking. Maintain confidential records, legal files, and compliance logs. Support internal and external reporting processes, including document formatting, editing, and submission tracking. Coordinate logistics for meetings, hearings, and inter-agency communications.
  • Assist in maintaining the agency’s rulemaking documentation in compliance with the Arizona Administrative Procedures Act.
  • Provide administrative support to the Legal Division, including scheduling meetings, managing attorney calendars, and preparing internal communications.
  • Process incoming mail and electronic documents related to legal matters.

Salary
  • $31.25 - $33.65 (DOE)
Qualifications

Knowledge:
-Word processing programs, legal terminology and legal forms.
-Service of process procedures.
-Understanding of the attorney/client relationship including the need for confidentiality and discretion.
-Rules and procedures of all Arizona State courts and a variety of federal courts.
-Court procedures and applicable time-frames.
-The principles, concepts, practices, methods and techniques common to a modern law office.
-Grammar, punctuation, spelling, basic editing, and formatting of a wide variety of legal documents.
-Document review platforms, document retention.

Skills:
-Composing various complex legal correspondence and pleadings.
-Attention to detail.
-Excellent oral and written communication.
-Word processing and transcribing skills.
-Conducting legal research, including analysis of statutes and rules.
-Creative problem solving, including creating processes to improve efficiency and productivity.
-Managing case files.
-Summarizing records and creating memoranda.
-Organizing voluminous records.
-Managing attorney calendars.
-Calculating and calendaring deadlines.

Abilities:
-Ability to work with interruptions and adapt to changing priorities.
-Ability to work as part of a team.
-Ability to perform detailed work with a high degree of accuracy and exercise good judgment in safeguarding sensitive and confidential information.
-Ability to work independently.
-Ability to track and follow through on voluminous court actions in various states.
-Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
-Ability to organize, prioritize and perform varied tasks and track multiple deadlines simultaneously.
-Ability to manage multiple projects, timelines, and urgent issues with accuracy and attention to detail.

Selective Preference(s)

Bachelor's degree; Paralegal certification; Experience in a governmental/regulatory agency or gaming-related environment.

Pre-Employment Requirements

High school diploma; valid Arizona State driver's license.
