We are currently seeking a qualified Legal Assistant to support the Criminal and/or Civil Divisions of the U.S. Attorney's Office (USAO) in Macon, Georgia.

 

Position Overview

The Legal Assistant I will provide critical case management and records support to the Criminal Division of the USAO. This role requires specialized knowledge of legal processes, record retention schedules, and database management. The contractor will be responsible for reviewing, organizing, and closing case files—both paper and electronic—while ensuring compliance with district checklists, records retention schedules, and confidentiality requirements. All work is performed under the supervision of government attorneys and support staff.

 

Key Responsibilities

  • Case File Review & Status Determination: Review criminal case files using internal databases (LIONS/CaseView) and external systems (PACER, CourtLinks) to determine case status—including charges disposed, sentencing, appeals, motions, and asset forfeiture—and confirm all actions are closed.

  • File Collection & Organization: Locate and gather all paper case files, including related civil matters (e.g., 2255 motions); compare documents to established district checklists to determine what must be retained and what can be destroyed.

  • Records Purge & Retention: Purge and organize remaining documents in case file folders, ensuring sensitive or confidential information is properly safeguarded. Apply existing records retention schedules to determine the retention period for paper files.

  • Electronic File Management: Locate and review all portions of electronic case files, comparing them to district checklists to determine what must be retained and what should be deleted.

  • Case Closeout Documentation: Prepare Notices to Close Legal Files for AUSA signature; update CaseView to reflect files have been filed in the records room with other closed files. For cases where the AUSA is no longer employed, coordinate with Division Chiefs and Deputy Chiefs for signatures.

  • Records Maintenance & Archiving: Maintain tracking lists to facilitate file location and retrieval. Assist division records custodians with filing, general clean-up, and annual inventorying/packing of records for transfer to the National Archives and Records Administration (NARA).

  • Receptionist Backup: Serve as backup receptionist as needed, including greeting visitors, answering telephones, and directing calls to appropriate personnel.

  • Additional Support: Perform other legal assistant support activities reasonably related to assigned cases, files, and tasks.

Minimum Qualifications

  • Education: High school diploma or GED required; college education strongly preferred.

  • Experience: Three (3) years of related legal experience preferred but not required.

  • Skills:

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).

    • Excellent oral and written communication skills.

    • Strong organizational skills with high attention to detail.

  • Interpersonal: Ability to work and interact professionally and effectively with all levels of staff; strong people skills reflecting a courteous and tactful manner.

  • Driver's License: Valid U.S. driver's license.

  • Citizenship: Must be a U.S. Citizen.

  • Security: Must be able to obtain and maintain a Tier 4 Public Trust background investigation

Schedule and Hours

  • Standard Hours: Monday – Friday, 8:00 AM – 5:00 PM (with 1-hour lunch) or 8:30 AM – 5:00 PM (with 30-minute lunch).
  • Overtime: Occasionally required and must be pre-approved.
  • Holidays: Federal holidays observed; no work performed unless specifically authorized.
