Position Summary:
The Senior Legal Administrative Assistant provides advanced administrative and organizational support to the company's Legal Department. This role supports multiple attorneys and legal professionals by managing complex calendars, preparing legal and business documents, maintaining contract and compliance records, and coordinating departmental operations. The Senior Legal Administrative Assistant serves as a key point of contact between the Legal Department and internal business units, ensuring efficient communication and workflow while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities:
- Draft, proofread, and finalize complex legal and corporate documents, including contracts, memoranda, resolutions, and correspondence.
- Manage and organize legal files, databases, and contract repositories, ensuring accuracy and accessibility.
- Coordinate contract review and approval processes, including routing for signatures and maintaining status reports.
- Support corporate governance activities, including maintaining subsidiary records, preparing annual filings, and assisting with board and committee materials.
- Monitor key deadlines such as contract renewals, compliance filings, and litigation or regulatory response timelines.
- Manage attorney calendars, meetings, and travel logistics; coordinate cross-departmental and executive meetings as needed.
- Process invoices, track legal spend, and manage billing matters with outside counsel.
- Prepare presentations, reports, and dashboards summarizing departmental activities and metrics.
- Assist with compliance, audit, and risk management initiatives.
- Maintain discretion in handling sensitive legal and business information.
- Provide mentoring or guidance to junior administrative staff within the department.
- Monitor leases, licenses, onboarding & off-boarding attorneys.
Qualifications:
- Education: Paralegal Certification, Legal Studies, or related field.
- Experience: 4–6 years of progressively responsible administrative experience, with at least 2 years supporting an in-house legal department or law firm.
- Skills:
- Deep understanding of legal terminology, documents, and corporate processes.
- Strong written and verbal communication skills.
- Exceptional attention to detail and organizational abilities.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with contract management systems, e-billing platforms, or legal document management software.
- Ability to prioritize multiple projects and meet tight deadlines.
- Discretion, sound judgment, and a high level of professionalism.
