Job Summary
The Paralegal / Administrative Coordinator supports the company’s legal, compliance, and administrative functions within a food manufacturing environment. This role ensures regulatory compliance, maintains legal documentation, assists with contracts, and provides day-to-day administrative support to leadership and cross-functional teams.
Key Responsibilities Executive & Calendar Management
- Manage leadership calendars, scheduling across executives and external stakeholders
- Coordinate meetings end-to-end, including logistics, space setup, and catering
- Maintain a centralized corporate calendar highlighting key initiatives and events
- Plan and execute internal events, trainings, and company-wide celebrations
- Support employee engagement initiatives, recognition programs, and team activities
- Coordinate event materials, supplies, and vendor need
- Arrange travel (flights, hotels, transportation) and manage itineraries
- Prepare and submit expense reports in a timely manner
- Oversee daily administrative functions including mail distribution, document prep, and front office support
- Greet visitors and coordinate vendor services
- Ensure shared spaces are organized, stocked, and ready for use
- Facilitate document execution, including signature collection and tracking
- Monitor deadlines and follow up on key deliverables
- Provide light project coordination support across teams
- Conduct research and compile information for leadership requests
- Assist with presentation formatting and preparation
- Support office operations across locations, ensuring clean, functional environments
- Coordinate readiness of company spaces for meetings, visitors, and events
- Manage shipping, inventory coordination, and supply orders (including urgent needs)
- Handle errands and administrative tasks such as banking and local filings
- Assist with company events, product launches, and seasonal programs
Qualifications
Qualifications
- Associate’s or Bachelor’s degree in Paralegal Studies, Business Administration, or related field
- Paralegal certification preferred
- 2–5 years of experience in a legal, compliance, or administrative role preferred
Skills & Competencies
- Strong understanding of contract management and legal documentation
- Familiarity with food industry regulations is a plus
- Excellent organizational and multitasking abilities
- High attention to detail and accuracy
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management systems
- $60,000 - $65,000
