
The Legal Advertising Coordinator plays a crucial role in the publication of legal notices for civil, probate, and business matters. This position ensures accurate, timely, and compliant preparation, processing, and follow-up of legal advertising materials, including interaction with clients, courts, newspapers, and government agencies. The role also supports multiple departments as a flexible “floater,” providing coverage and assistance where needed.
Key Responsibilities:
Civil and Probate Legal Notices
- Process various civil notices including summons, name changes, citations, receivership sales, and workers’ compensation cases.
- Process probate notices such as Notice of Petition to Administer Estate, Notice of Sale of Real Property, and Notice to Creditors.
- Draft and mail notice documents to heirs and beneficiaries.
- Monitor DE-121 returns from the post office and forward them to attorneys.
- Check court websites for DE-121 updates and ensure compliance.
Business and Trustee Notices
- Handle business notices including bulk sales, lien sales, vessel/car/storage/warehouseman sales, abandoned property sales, police permits, and bank mergers.
- Process trustee sales notices and FBN (Fictitious Business Name) orders.
- Mail certified notices to tax collectors and assign checks for filing at clerk/recorder and DJ offices.
Client and Customer Service
- Serve as a point of contact for customer inquiries related to publication processes for all notice types.
- Assist clients at the Stanley Mosk Courthouse and support Legal Ad Store submissions.
Administrative Support
- Enter LegalZoom orders and e-file legal documents.
- Proofread and typeset notices across all categories.
- Request proofs of publication and confirmations from newspapers.
- Submit credit card payments and manage invoices and mailed documents.
- Create declarations for illegible proofs and support publication tracking.
Departmental Support (“Floater” Role)
- Provide backup for civil, probate, and bulk sale desks.
- Assist in typesetting, proofreading, and publication follow-ups.
- Collaborate with the expediting department and support special projects as assigned.
Qualifications:
- 2+ years of experience in legal advertising, court procedures, or publishing preferred.
- Strong attention to detail and proofreading skills.
- Familiarity with civil, probate, and business legal notice types.
- Proficiency in e-filing systems and legal document handling.
- Ability to manage multiple tasks in a fast-paced environment.
- Customer service experience, particularly with legal clients, is a plus.
- Ability to work onsite (including occasional courthouse visits).
