The purpose of the class is to perform a variety of advanced and complex clerical work in the preparation and maintenance of department records, to perform a variety of clerical tasks as assigned, and to provide professional and courteous customer service at all times. The class is given a general outline of work to be performed and is free to develop work methods and sequences; work is reviewed periodically by supervisor.- Duties
ESSENTIAL JOB FUNCTIONS
• Leads the preparation, processing, copying, indexing, filing, recording, transmitting and/or maintaining of various legal documents including, but not limited to, contracts, agreements, deeds, easements, FILOT, ordinances, resolutions, motions, and responsive pleadings.
• Provides direct support to the County Attorney.
• Audits and ensures the security and confidentiality of files as appropriate.
• Reviews records and forms, verifies information and takes complex problems to the County Attorney.
• Gathers information and data for meetings; upon the request of County Attorney, prepares meeting agendas.
• Conducts research in legal matters, to include Westlaw, Lexis Nexis, County GIS, County ROD, and Probate.
• Prepares complex and confidential legal correspondence, memoranda, reports, etc.
• Communicates official department plans, policies and procedures to County department heads, employees, and elected officials as required.
• Types letters, memos, and other legal correspondence for the appropriate office or department.
• Assists in departmental budgeting and financials, reconciliation of accounts.
• May attend and represent the organization at internal and external meetings.
• Purchases and maintains office inventory levels such as paper, pens, toner, etc.
• Answers phones; responds to emails.
• Assists in preparing payroll and in daily accounting functions for department.
• Schedules and maintains calendar of appointments, meetings and travel itineraries, coordinates related arrangements.
• Resolves moderately complex issues regarding departmental operations.
• May prepare and distribute minutes of meetings.
• May tabulate, post and verify information as requested.
• Assists co-workers with clerical duties as necessary.
• Operates a personal computer and appropriate software packages or its equivalent pertaining to departmental activities.
• Reviews jury and non-jury rosters for pending lawsuits and maintains calendar for important deadlines.
• Performs other related job duties as assigned.- Qualifications
High school diploma or GED supplemented by education in accounting, bookkeeping, secretarial science or a closely related field.
Requires at least five (5) years of related work experience.- Additional Requirements
Special Qualifications:
May require special certifications as required by the County Attorney, such as being a Notary Public.WORK ENVIRONMENT

Position Type and Expected Hours of Work
This is a full-time position; typical work hours and days are Monday through Friday, 8:30 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but employees must be available during the “core” work hours of 9:00 a.m. – 4:00 p.m. and must work 40 hours each week to maintain full-time status. Employees must be available to work evenings, weekends and holidays during emergencies or as requested.E.O.E.
