SUMMARY:
The Executive Legal Assistant/Legal Secretary provides comprehensive administrative support to the Chief Compliance Officer and General Counsel. This role involves managing legal documentation, coordinating meetings, and ensuring efficient communication within the legal department.
JOB DUTIES AND ESSENTIAL FUNCTIONS:
- Prepare and review various legal documents, including contracts, agreements, and internal memoranda, ensuring adherence to legal standards and organizational policies.
- Format documents according to legal and corporate guidelines, verifying accuracy, completeness, and compliance.
- Schedule and coordinate appointments and meetings for the Chief Compliance Officer and General Counsel, including room reservations, setup, catering, and necessary technical arrangements.
- Prepare detailed agendas and assemble relevant materials to ensure efficient and productive meetings.
- Handle incoming and outgoing communications professionally, including phone calls, emails, and written correspondence.
- Manage legal documents such as subpoenas and other legal processes, ensuring proper handling and timely response.
- Maintain a professional demeanor in interactions with internal team members, external clients, and other stakeholders, fostering positive and effective relationships.
- Organize, maintain, and manage legal files, bank records, and databases, ensuring proper filing and efficient retrieval of documents.
- Implement and oversee systems for document storage and management to support accessibility and compliance.
- Proofread and revise legal and corporate documents for accuracy, clarity, and consistency.
- Prepare and draft various types of correspondence, ensuring adherence to organizational and legal standards.
- Support compliance-related activities, including tracking changes in regulations and maintaining up-to-date compliance documentation.
- Assist in the preparation and review of compliance reports and documentation.
- Provide comprehensive administrative support, including preparing detailed reports, overseeing expense reports, and managing other administrative tasks as required.
- Assist in the development and implementation of administrative processes to enhance efficiency and productivity.
- Perform other duties and special projects as assigned.
WORKING CONDITIONS:
- Air-conditioned office setting, primarily at the Fort Worth office.
- Standard bank business hours with occasional need for flexibility based on departmental needs.
- May require interaction with various departments and external stakeholders.
- Consistent and timely attendance is required to ensure uninterrupted operational efficiency and exemplary service delivery.
PHYSICAL DEMANDS:
- The role requires frequent use of a computer, phone, and other office equipment.
- Occasional lifting of documents and office supplies may be required.
- Sit for extended periods of time.
- Walk, stand, bend, squat, twist, and reach.
- Simple grasping and fine manipulation.
- Extended keyboarding.
MINIMUM REQUIREMENTS:
- High School Diploma or equivalent.
- Minimum of 3 years of experience in a legal administrative role, preferably within a corporate or financial services environment.
- At least 2 years of experience in the banking or financial services industry, with a solid understanding of industry-specific regulations and compliance issues.
- Excellent verbal and written communications skills.
- Proficiency in Microsoft Office Applications including Excel, PowerPoint, and Word.
- Familiarity with legal terminology, compliance regulations, and document management systems.
- Must be highly professional, mindful, and organized.
PREFERRED REQUIREMENTS:
- Associate degree or completion of a legal assistant/legal secretary program preferred.
