The Office Services Coordinator plays a vital role in supporting the mission and day-to-day operations of the Lawyers’ Committee for Civil Rights Under Law. This position ensures our office environment functions smoothly and effectively, enabling our staff to focus on delivering high-impact programs. The Office Administrator will coordinate logistics for meetings and events, manage office resources, support internal communication, and serve as a key liaison with facilities, vendors, and staff.

The Office Services Coordinator works under the supervision of the Director of Operations and Administration.

What You’ll be Doing:
Responsibilities of Counsel include but are not limited to:

Facilities Support
  • Serve as the primary point of contact with building security for all on-site visitors and guests.
  • Interface with building management regarding HVAC, maintenance, and other facilities-related issues.
  • Facilitate employee and visitor building access, including coordination with security systems.
  • Maintain, set up, and break down conference rooms to ensure they are meeting-ready.
  • Manage on-site and off-site storage spaces, including organization and inventory tracking.
  • Oversee inbound and outbound mail handling, package deliveries, and distribution.
  • Ensure a safe, clean, and welcoming office environment for staff, visitors, and guests.

Operations Support
  • Manage and monitor inventory of office supplies; order, restock, and track usage as needed.
  • Coordinate catering for meetings, staff events, and organizational functions.
  • Plan and execute logistics for on-site and off-site meetings.
  • Maintain, prepare, and ship branded materials for organizational participation in conferences and events as needed.
  • Draft and distribute internal communications related to office operations and building updates.
  • Review and respond to requests submitted through the Operations Support ticketing system.

Minimum Requirements and Competencies:
  • High school diploma or equivalent.
  • 4 plus years as an office administrator, office assistant, or in an equivalent position in a professional services environment.
  • Required to come into the office 5 days per week and work additional hours as needed.
  • Deep commitment to the advancement of racial justice and civil rights.
  • Demonstrated efficiency prioritizing tasks, allocating time, and managing multiple responsibilities to meet deadlines.
  • Comfortable managing multiple priorities and working across departments in a mission-driven environment.
  • Proficient in Microsoft Office Suite, Google Workspace, and basic inventory/tracking systems.
  • Strong interpersonal skills with demonstrated collaborative, problem-solving orientation.
  • Efficiency, thoroughness, attention to detail, and strong organizational and administrative abilities.
  • Adjusting to changing priorities and tasks and demonstrating the ability to learn and adapt to new situations.
  • Strong organizational and time management skills with high attention to detail.
  • Demonstrated ability to handle sensitive situations and a high degree of respect for the confidentiality of organizational records and materials.
  • Experience in an administrative capacity for a senior executive, preferably at a nonprofit organization, is strongly preferred.

For example, while performing the duties of this job, the employee is regularly required to talk or hear. In addition, the employee frequently is required to stand, walk; use hands to finger, handle or feel; and reach with hands and arms. The expected range for this role will be: $54,000 - $62,000.
