Job Description

Acts as the coordinator and system facilitator for the Legal Department for all fascias. This individual is expected to consistently demonstrate and embody JD Finish Line’s core values: Customer, People, Winning, Community, and Financial Responsibility, through the following key responsibilities

  • Assist with the management of the department’s matter management, contract life cycle management, and electronic billing systems. 

  • Initiates lease review process, sets up new files upon receipt from real estate department, provides updates in all necessary systems throughout the review process, and provides necessary reports to aid in the review of new lease documents.

  • Communicates with landlords and vendors on a routine basis for the purposes of providing status updates, directing inquiries, and otherwise fielding all general requests.  

  • Creates matters within department platforms, tracks matters from beginning to end, and maintains filing systems relating to legal documents such as:  contracts, leases, estoppels, SNDA requests, insurance claims, subpoenas, collection matters, contest, sweepstakes, violations and unsolicited vendors. 

  • Executes a variety of legal and lease documents, conducts follow-ups on the status, ensures necessary approvals have been received, and that signatories are correct for the document involved.

  • Manages library of partially and fully executed documents.

  • Maintains storage records per our document retention policy requirements and manages files pulled/returned when needed for reference or verification purposes.

  • Assists with implementation of any new systems for the department. 

  • Assists with compiling data and preparing weekly and monthly reports regarding company contracts, leases, and other ad hoc reports as needed.

  • Requests and manages certificates of insurance for distribution to landlords and vendors as necessary.

  • Coordinates payment of invoices, membership dues for counsel, ensures new vendors are created with finance, distributes mail, answers calls, and acts as backup for Executive Administrative Assistant. 

  • Orders and maintains supplies for the Legal Department.

  • Performs special projects and tasks as assigned.

Required Education and/or Experience

College coursework or 2 – 4 years related experience and/or training; or equivalent combination of education and experience.  Ability to prioritize multiple tasks, handle a heavy workload, and knowledge of legal documents and computer operating systems (i.e. Word, Excel, Outlook, etc.)

Required Computer and/or Technical Skills

Should have intermediate knowledge and abilities with Microsoft Word, Excel and PowerPoint. Should be able to adapt quickly to new matter management systems in order to help with the administration of those systems.

  • Average work week is 40-45 hours, which can vary depending on business need.

  • The work environment for this position is a moderately noisy office setting.
