Our Commitment to Compliance and Inclusion

In accordance with New York and New Jersey state laws, the salary range for this position is $45,000 to $55,000 annually, based on experience and qualifications. Final compensation will be determined during the hiring process. This position is non-exempt.

 

RESPONSIBILITIES/DUTIES:

Client Contact:

  • Answers the telephone and routes the call to appropriate party/department and shares in responsibility for regional office telephone coverage, when needed.
  • Answers phone, routes calls and greets clients and other visitors
  • Check attendance calendar for attorneys and staff for the day.
  • Offer and serve beverages to clients and attorneys in the conference room(s).
  • Set-up and clean-up of conference room(s), lounge or other rooms used for meetings or gatherings.

 

Administrative Duties:

  • Opens, scans, and distributes daily mail and incoming faxes. Handles FedEx and occasional runs. Delivers incoming mail
  • Scans and maintains log of all incoming checks. Deposits checks as needed.
  • Handles all food orders for firm-related or client meetings and assist with concierge duties.
  • Assists with large mailings and other non-priority projects.
  • Helps prepare for marketing events.
  • Assist Office Manager with facilities management.
  • Ensure all office equipment is up and running.
  • Store supplies upon receipt, verify received items and forward packing slips for approval.
  • Assist with preparation of check requests and petty cash.
  • Assist as needed with CMS Attorney/Paralegal time entry.
  • Miscellaneous duties as required.

 

File Clerk Duties:

  • Create and maintain electronic files
  • Update file rooms as needed to clear out older files and update any physical files that have been created.
  • Prepare closed files by inventorying and shipping and scanning, as needed.
  • Prepare requests for ordering closed files from storage and for return of the same.
  • Any and all other duties as may be required of the job.
  • Additional miscellaneous back-up duties for the collection/foreclosure department:

 

REQUIRED SKILLS/ABILITIES: 

 

  • Proficient with Microsoft Office Suite or related software.
  • Familiarity with iManage, File Site, and Aderant, preferred.

 

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent required. Technical education will also suffice.
  • A minimum of two years of related experience is required.
  • Light typing with a minimum typing speed of 25 WPM
