Job Description

Position:  Real Estate Legal Administrative Assistant

Clark Hill PLC’s Lansing office is seeking an experienced Real Estate/Transactional Legal Administrative Assistant. This position is full-time and will provide administrative support for our Real Estate Business Unit. Qualified candidates will have 3-5 years of real estate and transactional experience. This position provides backup support to attorneys in the Litigation Business Unit and litigation experience is desired, This position reports to the Office Manager, as well as assigned attorneys, and is responsible for providing the requisite legal secretarial and administrative support (clerical) needs of assigned attorneys; preparation, editing, formatting and comparing of letters, memos, and other documentation as required; entering conflict information into the system for the purpose of running conflict checks for new clients as well as preparation of supporting documentation; docketing of dates into a central docketing system; making travel arrangements; preparing expense reimbursement documentation; inputting attorney time; maintaining a system of filing for all attorney work and client information; providing documentation, as required, to clients. The ideal candidate will have excellent attention to detail, organizational and time management skills. The candidate selected for this position must be accustomed to working in a highly-productive environment. This position provides assistance to attorneys predominantly in the real estate area, but with the ability and willingness to help attorneys and others in litigation and other areas as well.
 
Essential Job Functions
  • Well-versed in real estate and transactional work
  • Format and proofread pleadings, letters, memos, and other documents
  • Open and close new matters, including conflicts submissions
  • Schedule meetings, arrange for conference rooms and related logistics for meetings.
  • Maintain attorney calendars; plan and schedule conferences, teleconferences, and travel arrangements.
  • Billing tasks.
  • Maintain an appropriate filing system for all attorney and client work.
  • Perform other duties or tasks as assigned or requested (as needed) by the Office Manager and attorneys.
Minimum Requirements:
  • Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, and decision-making skills.
  • Strong attention to detail and proofreading skills.
  • Must be a team player, able to work as part of team, and must be willing to do any project big or small.
  • Excellent written and oral communication skills.
  • Excellent computer skills utilizing MS Word, Outlook, and related MS software.
  • Excellent organizational skills.
  • Must be self-motivated and a self-starter.
  • Ability to absorb information quickly and adapt to change.
  • Excellent communication skills, both verbal and written.
The salary range at the time of posting is $50,000-$55,000 annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data.  This position is eligible for an annual discretionary bonus.  In addition, Clark Hill offers employees the ability to participate in health insurance with optional HSA/FSA, short term disability, long term disability, dental insurance, vision care, life insurance, 401K, paid time off, parking/public transportation allowance, and an employee assistance program.
