The primary role of this Legal Assistant position is to coordinate in-person notary signings of estate planning documents with clients in 14 states (and growing) in coordination with our contract notaries. Most of the signings will take place in clients' homes.
Primary responsibilities include: printing and preparing original documents for signing; coordinating signing logistics with the notary and clients; processing the estate planning documents post-signing; assembling and mailing the final estate planning binder to the clients.
In addition, the Legal Assistant is responsible for providing client and team support by managing the team's voice mailbox, fielding client inquiries about and helping clients with trust funding matters, and generally supporting a team of attorneys and paralegals. The ideal candidate will have an eye for detail, excellent communication, typing, computer, software, and administrative skills, and work well in a fast-paced team-centered environment. Client interaction and collaboration skills are a must. Duties and responsibilities
- Print, prepare, and mail estate planning documents for signing
- Schedule, coordinate (with clients and notaries), and supervise in-home signings of estate planning documents in 14 states (and growing)
- Process estate planning documents post-signing
- Field calls regarding trust funding matters and general client needs and inquiries
- Serve as general support to and assist the attorneys and paralegals
Qualifications
- Minimum 3 years' experience in legal assistant / paralegal role preferred
- Active notary stamp required.
- High proficiency in typing, computer, and software skills (Word, Outlook, Excel, Adobe, Zoom, document preparation program...)
- Excellent client communication and interaction skills
- Responds quickly to emails, text, and voice mail
- Excellent team collaboration abilities
- Outstanding written and verbal communication
- Strong problem-solving skills
- Ability to work in an energetic, fast-paced, open office environment with an ability to multi-task and focus amidst other activities
- Professional, positive attitude, well-organized, and detail-oriented, with a high tolerance for change.
Working conditions
This is an in-office (not remote) position. Requires sitting, typing and working on a computer for long periods of time in an open office environment (cubicle).
