THE OPPORTUNITY
The Court Clerk is responsible for supporting all Municipal Court functions under the direction of the Town Clerk. The Court Clerk maintains required records management pursuant to state regulations. The Court Clerk provides assistance to the Deputy Town Clerk as needed or directed by the Town Clerk.
JOB SUMMARY
- Follows all policies and procedures set by Municipal Court Judge ensuring that state statutes and local ordinances are adhered to in daily operations of the court.
- Greets and assists Municipal Court customers at the front counter; receives telephone calls in a timely and professional manner; provides court information and assistance to citizens in court case matters taking appropriate action in response to questions received.
- Assists Municipal Judge during court proceedings as assigned; checks in and checks out parties for court; processes payments and reviews court sentences with parties as ordered by the Court.
- Prepares, enters, and maintains all cases in court computer software and creates court files as appropriate. Scans and maintains all court records and storage of files on all court cases and related court activity per the municipal retention schedule. Ensures all data entry is accurate and completed in a timely manner. Proofreads all work for accuracy and completeness, including all forms, tickets and paperwork that is part of the municipal court procedural requirements.
- Prepares legal documents (orders, notices, bonds, warrants, writs) and general correspondence as required on all case matters.
- Receives and records all citations served.
- Prepares court docket, handles various court paperwork and records including CCIC, NCIC entries and queries, continuance letters, deferred sentences, etc.
- Prepares and maintains case histories and responds to questions regarding case status.
- Schedules court hearing; notifies all parties involved including judge, Town Attorney, police department witnesses, and potential jurors.
- Receives and processes pleas from Municipal Court for traffic, parking and misdemeanor violations.
- Attends Municipal Court sessions; monitors and transcribes Court recordings.
- Schedules court continuances and prepares default paperwork and warrant issuances as needed.
- Collects fees, fines and other payments; makes arrangements for fee schedules and issues receipts.
- Sends motor vehicle citation and fine payment information to the Colorado Department of Motor Vehicles Division when citation is paid, or fee schedule is set up.
- Maintains and manages court records including archival, retention and responses to records requests.
- Assists in administering the issuance of business licenses, peddlers’ permits, and any other licenses and permits in accordance with applicable Town ordinances and state regulations as needed.
- Assists with cash receipts, utility billing, front desk coverage, and building permits as needed.
- Maintains required Court records management pursuant to state regulations and Town requirements.
- Answer phones and directs calls appropriately; serves as information resource for public contacts and inquiries and follow-up regarding these inquiries. Responsible for billing and collection of various fees and charges.
- Responsible for issuing and maintaining records of revenues from taxes, user fees and other service charges.
- Assists the Deputy Town Clerk as needed or as directed by the Town Clerk.
- Other duties as assigned.
QUALIFICATIONS
- 2+ years experience as a Court Clerk or similar role.
- Must possess a High School Diploma or equivalent. Associate’s degree preferred.
- Basic knowledge and experience in office records management.
- Must have a valid Driver’s License.
- High level of discretion and ability to keep information confidential.
- Must be a Notary Public or able to obtain a Notary within six months of hire.
- Experience with Caselle a plus.
- Bilingual (English/Spanish) preferred.
KNOWLEDGE, SKILLS AND ABILITIES
- Ability to perform court duties following standard procedures, statutes, and ordinances.
- Ability to operate general office equipment such as copy machines, printers, telephones and voicemail systems, fax machines and calculator.
- Demonstrated excellent written and verbal communication skills.
- Ability to express ideas clearly and concisely to others and under normal and stressful circumstances, both orally and in writing.
- Ability to work independently or with limited close supervision, depending on the nature of the assignment.
- Demonstrated ability to proofread documents and knowledge of the use of proper grammar, punctuation, and spelling.
- Excellent time management; ability to work under pressure and meet established deadlines.
- Ability to learn, understand and apply the Hudson Municipal Code, Resolutions and Ordinances.
- Excellent internal and external customer service skills.
- Ability to interact in a courteous manner with a wide variety of people.
- Ability to use and apply technology including word processing and spreadsheet software as well as new software programs.
- Critical thinking skills and ability to solve problems.
