- Support multiple partners by executing a broad range of tasks that positively impact their ability to manage clients, deadlines, and projects.
- Proactively manage calendars using Outlook; coordinate meetings, resolve scheduling conflicts, and organize travel.
- Collaborate with Legal Support Assistants and Legal Administrative Assistants by delegating tasks while maintaining responsibility for project outcomes.
- Prepare agendas, reports, correspondence, and presentations—some of which may contain confidential content.
- Participate in and coordinate logistics for internal and client-facing meetings, ensuring accuracy and completeness of materials.
- Draft and proof correspondence and communications, maintaining professionalism in tone and format.
- Develop relationships with internal departments and external contacts, including clients, to ensure smooth workflow and communication.
- Support billing activities, including prebill review, coordination with billing and collections teams, and budget tracking.
- Ensure all electronic and paper files are organized in compliance with Information Governance policies.
- Participate in practice group meetings and contribute to the preparation, review, and distribution of related materials.
- Minimum of 5 years of professional executive administrative experience, preferably in a legal or professional services setting.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent communication, interpersonal, and organizational skills.
- Ability to manage multiple high-priority tasks simultaneously with precision and professionalism.
- Strong discretion, sound judgment, and the ability to handle confidential matters appropriately.
- Proactive, dependable, and adaptable in a fast-paced, deadline-driven environment.
- Demonstrated success in supporting high-level executives or partners in complex scheduling, travel coordination, and billing processes.
