Hagens Berman Sobol and Shapiro is seeking a Reception/Legal Assistant for our practice in our Phoenix office. Primarily, this individual will support all members of the Phoenix office, both administratively and substantively.
Receptionist:
- Answer incoming calls promptly, determine the purpose of the call and forward calls to the appropriate person or department
- Greet visitors in person or on the telephone in a professional, friendly, hospitable manner
- Keep the conference rooms clean and orderly, set up/take down for depositions and meetings
- Keep inventory, order, and store all kitchen and general office supplies
- Keep the kitchen clean, orderly and stocked
- Case file management including opening and closing files and maintaining databases
- Support the office with calendar management, travel arrangements and expense reporting, credit card reporting, time entry, photocopying, scanning, faxing, filing, shipping, deliveries, mailing and mail logs, faxes, and equipment
Legal Assistant:
- Work with clients and class members to gather and convey information
- Assist with class action and mass tort cases which includes initial intake screening on cases, post-sign up and vetting, and obtaining required evidence and records
- Work with medical providers and other entities to request, organize, and analyze medical records, accident reports, and other records
- Court filings, e-filings, court courtesy copies, and hearing binders
- Collaborate and assist attorneys and paralegals with case work and support as needed, including proofreading and formatting pleadings, briefs, motions and correspondence; trial preparation, exhibits, witness materials, and trial logistics; discovery requests and responses including organizing documents and assisting with document productions, bates-stamping, redaction, and production logs; work with clients and class members
- Miscellaneous duties and special projects as assigned.
Requirements and Qualifications
- Ability to work independently, be resourceful, organize and prioritize workload, and adapt to changing priorities.
- Ability to follow written and verbal instructions
- Ability to perform under tight deadlines and maintain patience in high pressure situations.
- Excellent attention to detail.
- Expert knowledge of Microsoft Office (Outlook, Word, Excel) and Adobe required.
- Ability to work collaboratively in a team environment.
- Excellent interpersonal, organizational, planning, verbal and written communication skills including spelling, grammar, and proofreading skills.
- Must manage highly confidential information with professionalism and unquestionable integrity.
- Bachelor’s degree preferred.
- Preference for prior experience as a Receptionist, Legal Assistant, Legal Secretary, or Executive Assistant.
- Understanding of advanced legal concepts and terminology, formats and Blue Book citations, knowledge of federal court rules and procedures, ECF and other e-filing systems a bonus
- $28 - $24/hour
